Job Description

About the Role

We are looking for an experienced Event Production Manager with strong knowledge of events, exhibitions, conferences, and experiential projects. The role requires someone who can handle projects from concept and costing to execution and closure.

The candidate will work closely with the design team, vendors, and leadership to estimate project costs, plan production, and ensure smooth on-ground execution while maintaining quality, timelines, and budgets.

Key Responsibilities

Project Planning & Costing

  • Work with the design team to understand project concepts and requirements
  • Prepare detailed cost estimates and production budgets
  • Identify suitable materials, vendors, and production techniques
  • Analyze project feasibility and present costing reports to the leadership team

Vendor Management

  • Identify and coordinate with fabricators, printers, production vendors, and technical teams
  • Negotiate pricing and finalize vendors within budget
  • Ensure vendors clearly understand the design specifications and execution requirements

Production & Execution

  • Oversee the production process for events, exhibitions, booths, and conferences
  • Manage timelines and ensure all deliverables are completed as planned
  • Supervise installation, setup, and dismantling of event structures

On-Ground Event Execution

  • Manage on-site execution of projects
  • Ensure the final output matches the approved designs and expectations
  • Coordinate with vendors, production teams, and internal staff during the event

Project Monitoring & Reporting

  • Provide regular updates and progress reports to leadership
  • Ensure projects are executed within approved budgets and timelines
  • Resolve on-site challenges and ensure smooth event operations

Project Closure

  • Oversee final execution and event completion
  • Ensure proper vendor deliverables and quality checks
  • Support final project closure including vendor coordination and documentation

Required Skills

  • Strong knowledge of event production, exhibition stalls, and conference setups
  • Experience preparing costing estimates and production budgets
  • Vendor management and negotiation skills
  • Strong understanding of materials, fabrication, printing, and event production techniques
  • Ability to manage multiple projects simultaneously
  • Strong problem-solving and decision-making ability

Preferred (Good to Have)

  • Experience working with event agencies or exhibition companies
  • Knowledge of stage production, lighting, AV setup, and event infrastructure
  • Familiarity with event fabrication and installation processes
