Role Description This is a full-time, on-site Event Planner role based in Hyderabad. The Event Planner will coordinate end-to-end planning and execution of events, including client briefings, concept development, venue selection, vendor management, logistics, and on-ground supervision. Responsibilities include preparing event proposals, timelines, and budgets; negotiating with vendors and partners; and ensuring all deliverables meet brand and quality standards. The role involves close collaboration with internal creative, digital, and account management teams to align event concepts with broader campaign objectives. The Event Planner will also track event performance, gather feedback, and prepare post-event reports to support continuous improvement and client satisfaction.
Qualifications
- Strong Event Planning and Event Management skills, including experience managing multiple events and timelines.
- Plan, organize, and execute corporate, social, promotional, and special events.
- Meet with clients to understand event objectives, requirements, and budgets.
- Develop event concepts, themes, schedules, and timelines.
- Research and negotiate with venues, suppliers, and vendors.
- Coordinate catering, entertainment, transportation, audiovisual equipment, and other event services.
- Manage event budgets and track expenses to ensure cost efficiency.
- Prepare event proposals, contracts, and reports.
- Oversee event setup, execution, and teardown activities.
- Ensure compliance with safety, legal, and venue regulations.
- Handle event-related issues and provide quick solutions during live events.
- Conduct post-event evaluations and gather feedback for continuous improvement.
- Proficiency in Budgeting and cost control for events, with the ability to optimize resources without compromising quality.
- Effective Communication skills, both written and verbal, for client interaction, vendor coordination, and cross-functional collaboration.
- Sales and client relationship-building skills to support business growth, upselling event services, and maintaining long-term partnerships.
- Proven experience in corporate or agency-side event planning; experience in integrated marketing or brand activation is an advantage.
- Strong organizational, problem-solving, and negotiation abilities, with attention to detail and the capacity to work under tight deadlines.
- Comfort working on-site at events, including evenings or weekends when required.
- Relevant bachelor's degree or equivalent professional experience.
