Role Overview
An Event Operations Manager to support the execution of premium B2B conferences, summits, awards and closed-door CXO events.
This role will focus on operational planning, vendor coordination, speaker logistics and on-ground execution. The individual will work closely with senior leadership, production partners and cross-functional teams to ensure seamless event delivery.
This is a hands-on execution role requiring strong coordination skills, attention to detail and the ability to manage multiple stakeholders simultaneously.
Key Responsibilities
Event Planning & Coordination
- Support end-to-end planning of conferences, summits and CXO events.
- Assist in building detailed project timelines and run-of-show documents.
- Track milestones and ensure deliverables are met on schedule.
- Support on-ground execution and issue resolution.
Venue & Hospitality Management
- Assist in venue evaluation and coordination.
- Manage venue layouts, seating plans and operational logistics.
- Coordinate F&B planning and hospitality arrangements.
- Oversee guest lists, accommodation blocks and basic stay logistics (where applicable).
Speaker & Guest Management
- Coordinate travel, accommodation and transfers for speakers.
- Maintain structured communication with speakers and their teams.
- Support green room management and speaker movement on event days.
Production & Branding Coordination
- Work with agencies and internal teams to execute stage setup, branding and AV requirements.
- Review event creatives and ensure sponsor branding commitments are implemented.
- Support rehearsals and technical run-throughs.
Vendor & Budget Support
- Coordinate with vendors and production partners.
- Track budgets and support cost monitoring.
- Assist with post-event reconciliation and documentation.
Cross-Functional Coordination
- Work closely with editorial, marketing and sales teams.
- Ensure sponsor deliverables are executed as per agreed commitments.
- Coordinate with broadcast partners where applicable.
Required Skills & Experience
- 4–7 years of experience in event operations or conference management.
- Experience working on B2B or premium-format events preferred.
- Strong coordination and vendor management skills.
- Basic budgeting and cost-tracking exposure.
- Ability to manage multiple timelines simultaneously.
- High attention to detail and structured working style.
- Comfortable working in high-pressure live event environments.
