Job Description

Location: Gurugram, India

Reporting to: Equity Director – Global Reward

Role Summary

The Equity Compensation Specialist provides operational support to the global administration of employee equity programmes. The role is execution‑focused and responsible for processing high volumes of equity transactions accurately, in line with defined equity plan rules, approval frameworks, and internal controls.

Success in this position depends on precision, discipline, and consistency in applying established processes. The role works under the direction of the Equity Director and escalates judgement‑based or exceptional matters. The position plays a key part in upholding governance standards and ensuring streamlined, reliable equity administration across the organisation.

Core Responsibilities

Equity Transaction Processing

  • Process large volumes of employee equity transactions, including new awards, vesting events, and leaver forfeitures.
  • Maintain accurate employee equity records and cap table data within the ShareForce platform.
  • Perform validation checks and reconciliations to ensure transaction accuracy and completeness before and after processing.

Process Execution & Controls

  • Follow documented equity administration procedures and internal controls without deviation.
  • Ensure all required approvals, documentation, and eligibility checks are in place before processing transactions.
  • Maintain audit‑ready records for all transactions, including supporting evidence and approvals.
  • Escalate discrepancies, missing approvals, or unclear scenarios promptly to the Equity Director.

Governance & Compliance Support

  • Apply equity plan rules strictly within established governance frameworks.
  • Support internal approval processes by ensuring transactions are processed only once appropriate authorisations are confirmed.
  • Handle all employee equity data with strict confidentiality and in accordance with internal control and data protection standards.

Cross‑Functional Coordination (Operational)

  • Coordinate with People Operations and People Business Partners to accurately reflect employee lifecycle events in equity records.
  • Review and validate employee data feeds from ShareForce and Workday, and support clarification or justification of records where required.
  • Liaise with Finance or Legal teams, as directed, when transactions have accounting, payroll, or legal dependencies.
  • Ensure consistent processing outcomes across regions by following standardised procedures.

Employee & Internal Support

  • Support employee and People team queries relating to equity awards using approved materials and guidance.
  • Provide factual, process‑based responses and escalate interpretation‑based or exception scenarios.
  • Assist with maintaining standard employee communications, FAQs, and guidance documents.

Reporting & Record Management

  • Maintain orderly records of award agreements, approvals, and transaction logs.
  • Produce standard equity reports and data extracts using Excel and system outputs as requested.
  • Ensure reports are complete, accurate, and reconciled to system records.

Experience

Required Experience & Capabilities

  • 2–5 years experience in equity administration, stock plan operations, legal operations, fund administration, payroll operations, or other regulated transaction‑processing roles.
  • Experience working in a high‑volume, deadline‑driven environment where accuracy is critical.

Technical Skills

  • Strong Excel capability, including working with large datasets, lookups, and reconciliations.
  • Comfortable working within systems and following structured workflows (experience with ShareForce, Workday, or similar platforms is helpful but not required).
  • High data accuracy and attention to detail are essential.

Governance & Documentation Aptitude

  • Comfortable reviewing formal documentation, approvals, and agreements.
  • Able to follow defined rules and approval frameworks without informal interpretation.
  • Demonstrates a paralegal‑style approach: methodical, precise, and documentation‑focused.

Communication

  • Clear and professional written and verbal English.
  • Able to communicate process‑based information clearly and consistently.
  • Comfortable escalating issues where clarity or approval is required.
