Role Overview
This role is responsible for managing the intake, validation, and setup of product data and digital assets received from internal teams and third-party (Drop Ship) vendors. The coordinator ensures all product informationdata files, imagery, titles, product types, and attributionsis accurate, complete, and properly configured across Shopify and the PIM system before products go live.
Training will be provided on Shopify Admin and the PIM system. The ideal candidate brings strong Excel skills, high attention to detail, and a structured, process-driven approach.
Key Responsibilities
- Vendor Data Intake & Validation
- Receive product data files from third-party / Drop Ship vendors and review for completeness and accuracy.
- Use advanced Excel functions (e.g., XLOOKUP, VLOOKUP, Pivot Tables) to validate and cross-reference data against master product files.
- Identify missing, inconsistent, or incorrect data fields and flag discrepancies.
- Maintain tracking logs to monitor file receipt, validation status, and pending issues per vendor.
- Coordinate with internal teams to resolve data gaps; escalate unresolved issues when required.
2. PIM Content & Attribution Review
- Manage and update product data within the PIM system.
- Review AI-generated product content including:
- Product titles
- Categories & product types
- Attributes and specifications
- Correct inaccuracies and ensure all content aligns with defined standards.
- Cross-check PIM data with vendor and internal source files for consistency.
- Identify recurring data quality issues and escalate to the team lead.
3. Product Setup in Shopify Admin
- Configure and update product listings within Shopify Admin.
- Ensure all required fields are complete and aligned before publishing.
- Handle basic troubleshooting such as:
- Missing images
- Variant issues
- Incorrect categorization
- Support smooth product go-live processes.
4. Product Imagery Coordination
- Review product images received from vendors against platform standards (resolution, format, naming conventions).
- Organize and upload approved images to the correct product records in Shopify and/or PIM.
- Track image receipt, approval status, and gaps by vendor and SKU.
- Follow up with vendors/internal teams for missing or non-compliant assets.
Key Skills & Qualifications
- Strong proficiency in Microsoft Excel (XLOOKUP, formulas, data validation)
- High attention to detail and accuracy
- Experience with Shopify or any e-commerce platform (preferred, not mandatory)
- Familiarity with PIM systems (preferred)
- Strong organizational and tracking skills
- Ability to manage multiple vendors and deadlines
- Good communication and follow-up skills
