Job Description

We are looking for a highly organized and proactive Executive Assistant to support the Director in managing business operations, coordination, administration, reporting, and communication across departments. The ideal candidate should be detail-oriented, possess strong multitasking abilities, and be comfortable handling confidential information and business coordination activities.

Key Responsibilities

Executive & Business Support

Coordinate with various business teams on behalf of the Director

Track business progress and follow up on key deliverables

Assist in ongoing business development and new business initiatives

Support the Director in day-to-day operational activities

Communication & Coordination

Manage emails, correspondence, and communication on behalf of the Director

Prepare agendas, MOMs (Minutes of Meetings), and follow-up trackers

Coordinate meetings with clients, internal stakeholders, and leadership teams

Handle guest relations and visitor coordination

MIS & Reporting

Compile MIS reports and prepare summaries for management review

Highlight key business insights and critical updates

Maintain organized documentation and confidential records

Administration & HR Coordination

Manage administrative activities including attendance records, housekeeping, pantry coordination, and office support

Maintain soft and hard copies of important files and documents

Source and shortlist candidates from job portals and social media platforms

Coordinate interviews, reference checks, offer letters, onboarding, and exit formalities

Approval & Process Coordination

Coordinate staff voucher approvals across branches

Ensure smooth follow-up and closure of assigned tasks and approvals

Requirements

Bachelor's degree in BBA / MBA (Finance preferred)

3–5 years of experience in Executive Assistant, Administration, Business Coordination, or similar roles

Excellent verbal and written communication skills

Strong organizational and multitasking abilities

Proficiency in MS Office (Excel, Word, PowerPoint)

Ability to maintain confidentiality and work in a fast-paced environment

Strong follow-up and coordination skills

Preferred Skills

Exposure to HR coordination and recruitment processes

Analytical mindset with good reporting skills

Professional attitude and problem-solving ability
