JOB PURPOSE:
This position is responsible to support the director with essential administrative
tasks, problem-solving, and effective teamwork. This role requires exceptional
organizational skills, attention to detail, and the ability to meet deadlines
consistently.
JOB DESCRIPTION:
1) Efficiently manage and organize the director's calendar, scheduling
meetings, appointments, and events to ensure optimal time management.
2) Oversee and coordinate the daily schedule of the director, ensuring all
activities are planned and executed smoothly.
3) Arrange comprehensive travel plans, including flights, accommodations,
and transportation for the director and senior management.
4) Prepare and manage detailed travel itineraries.
5) Oversee vendor and customer approvals, ensuring compliance and timely
processing.
6) Evaluate and submit travel expense reports for the director's approval.
7) Handle different approvals accurately and efficiently.
8) Arrange and maintain department-wise monthly reports, ensuring timely
and accurate submission.
9) Prepare detailed minutes of meetings, capturing key points and action
items, and distribute them promptly to relevant stakeholders.
10) Maintain and organize both physical and digital files, ensuring easy retrieval
and secure storage of important documents.
11) Proactively identify and highlight issues that require the director's attention,
ensuring timely resolution and follow-up.
12) Perform various other tasks and duties as assigned by the director from time
to time.

JOB SPECIFICATIONS,COMPETENCIES & JOB REQUIREMENT:
Bachelor's/Master's degree in Accounting/Finance/Business Administration
with minimum age needs to be 32 years.
8 years of minimum experience as an executive assistant or similar role
Strong organizational and time-management skills.
Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills.
Ability to manage multiple tasks and prioritize effectively.
High level of discretion and confidentiality.
Proactive and problem-solving mindset.
Ability to work independently and collaboratively as part of a team.
Experience with ERP systems.
Should have a go getter attitude.
