Job Title: Administrative Assistant
Key Responsibilities
Event Spreadsheets & Data Management
* Download, consolidate, organize, and maintain event spreadsheets.
* Sort data alphabetically, by order amount, and by date.
* Create and manage drop-down lists (training provided).
* Research business owners via websites and LinkedIn to identify correct industries.
* Assign labels and categories based on provided training.
* Apply formatting to spreadsheets (bold, italics, colors, etc.).
Database Management (Zoho CRM)
* Upload event sheets into Zoho CRM for contacts not already in the system.
* Add notes to contact profiles regarding registrations and event attendance.
* Create and manage deals, move deals through the pipeline.
* Perform additional CRM-related contact management tasks as needed.
Canva & Visual Content
Event Media
* Download event photos and upload them to Canva.
* Duplicate previous event reels, replace images with new event photos.
* Rename files, update dates, remove duplicates, and select the best images.
* Edit photos and export reels (MP4).
Speaker Videos
* Download guest speaker videos from Zoho Meetings or shared platforms.
* Upload videos to Canva, trim beginnings/endings and edit as required.
* Share edited versions for approval before final download.
* Edit in-person speaker presentations shared via OneDrive or other platforms.
Blog Graphics
* Create graphics or source suitable images for blog posts and social media.
Email Marketing (Zoho Campaigns)
* Create campaign templates based on previous email designs.
* Update campaigns with graphics, dates, and event information.
* Manage and send two email campaigns per month.
YouTube Management
* Upload videos to YouTube.
* Add titles, descriptions, and tags using provided scripts.
* Update event dates, speaker names, and relevant details.
Website Management (WordPress / Elementor)
* Add, edit, and delete website content (text, images, videos, links).
* Ensure website content remains accurate and up to date.
Social Media Management
* Create and manage events on social platforms.
* Invite members to events and engage with posts (likes/comments).
* Schedule posts and post in Facebook groups.
* Help grow and increase engagement within the Facebook group.
* Send scripted messages to members and prospects.
Email & Communication
* Send client emails using provided scripts.
* Customize emails as needed based on specific situations.
* Respond to client inquiries when required.
Occasional Tasks
* Message new contacts on Facebook and LinkedIn using provided accounts.
* Create blog post copy (without using AI), depending on writing skills.
Required Skills & Experience
* Strong organizational and multitasking skills.
* Experience with Zoho CRM, Zoho Campaigns, Canva, WordPress/Elementor preferred.
* Comfortable working with spreadsheets and data organization.
* Good written English and attention to detail.
* Ability to follow processes and work independently.
