Job Summary

The Deputy Director Administration is responsible for overseeing and strengthening administrative systems, policies, and operations of the organization. The role ensures efficient functioning of administrative services including human resources, facilities, procurement, compliance, and general administration, while supporting strategic and operational goals.

Key Responsibilities

Administrative Management

  • Oversee day-to-day administrative operations and ensure smooth functioning of departments.
  • Develop, implement, and review administrative policies, procedures, and systems.
  • Ensure effective coordination among various administrative units.

Financial & Resource Administration

  • Assist in preparation and monitoring of administrative budgets.
  • Oversee procurement, contracts, inventory, and asset management.
  • Ensure cost-effective utilization of resources.

Facilities & Infrastructure Management

  • Manage office facilities, buildings, transport, security, and housekeeping services.
  • Coordinate maintenance, repairs, and infrastructure development projects.
  • Ensure safety, security, and statutory compliance of premises.
  • Ensure compliance with government regulations, statutory requirements, and audit observations.
  • Oversee record management, documentation, and administrative reporting.
  • Support inspections, audits, and accreditation processes.

Planning & Coordination

  • Assist the Director in strategic planning and implementation of administrative initiatives.
  • Represent the administration in internal committees and external meetings as required.
  • Handle grievances and resolve administrative issues effectively.

Required Qualifications

  • Master's degree in Public Administration / Business Administration / Management or a related field.
  • Minimum 1015 years of relevant administrative experience.
  • Experience in government, academic institutions, healthcare, or large organizations preferred.
  • Strong leadership and team management skills
  • Excellent knowledge of administrative rules, procedures, and compliance
  • Strong communication, coordination, and interpersonal skills
  • Problem-solving and decision-making ability
  • Proficiency in office automation tools and administrative systems
