Delivery and Dispatch Operator

Department: Logistics / Supply Chain

Reports To: Logistics Manager / Operations Manager

Salary Range: ₹15,000 - ₹30,000 per month (based on experience and skills)

Preferred Candidate: Local candidate from Surat preferred

Location: On-Site | Surat

About the Job

The Delivery and Dispatch Operator is responsible for overseeing the efficient and timely dispatch of yarn products to customers, managing transportation logistics, coordinating with warehouse and production teams, and ensuring compliance with delivery schedules. This role requires strong organizational skills, attention to detail, and the ability to manage multiple shipments simultaneously in a fast-paced yarn manufacturing environment.

Key Responsibilities:

Dispatch planning and Coordination

•       Plan and schedule daily dispatch operations based on customer orders, delivery timelines, and vehicle availability

•       Coordinate with production and warehouse teams to ensure yarn products are ready for dispatch as per schedule

•       Prepare dispatch schedules and allocate vehicles for optimized route planning

•       Prioritize urgent orders and manage last-minute dispatch requests efficiently

Documentation and Compliance

•       Prepare and verify all dispatch documentation including delivery challans, invoices, e-way bills, packing lists, and transport receipts

•       Ensure compliance with GST regulations, transport laws, and company policies

•       Maintain accurate records of all dispatches, including yarn lot numbers, quantities, quality grades, and delivery details

•       Coordinate with accounts department for billing and payment documentation

Transportation and Logistic Management

•       Coordinate with transporters, logistics providers, and fleet managers for vehicle arrangement

•       Monitor vehicle loading operations to ensure proper handling of yarn cones, packages, and pallets

•       Track shipments in real-time and provide delivery updates to customers and internal stakeholders

•       Negotiate freight rates and manage transportation costs within budget

•       Address transportation delays, route deviations, or vehicle breakdowns promptly

Quality and Safety Assurance

•       Verify that yarn products are properly packed, labeled, and protected against moisture, contamination, and damage during transit

•       Ensure correct product specifications, quantities, and quality grades are dispatched as per customer orders

•       Conduct pre-dispatch inspection and coordinate with quality control team for final checks

•       Implement safety protocols for loading/unloading operations and warehouse activities

Customer Communication and Service

•       Communicate delivery schedules and expected arrival times to customers proactively

•       Handle customer inquiries related to dispatch status, delivery timelines, and shipment tracking

•       Coordinate with customers for delivery slots, special handling requirements, and documentation needs

•       Resolve delivery-related complaints and ensure customer satisfaction

Inventory and Warehouse Coordination

•       Coordinate with warehouse team for picking, packing, and staging of yarn products for dispatch

•       Maintain updated inventory records post-dispatch and reconcile stock levels

•       Ensure proper storage and handling of products awaiting dispatch

•       Manage returns, rejections, and short shipments in coordination with warehouse and sales teams

Technology and Systems Management

•       Utilize ERP/TMS (Transportation Management System) for dispatch planning, tracking, and reporting

•       Generate daily/weekly dispatch reports, delivery performance metrics, and KPI dashboards

•       Implement digital solutions for e-way bill generation, GPS tracking, and proof of delivery (POD)

•       Maintain digital records and ensure data accuracy in dispatch management systems

Team Management and Coordination

•       Supervise dispatch staff, loading crew, and helpers to ensure efficient operations

•       Conduct training on proper handling of yarn products, safety procedures, and dispatch protocols

•       Foster coordination between dispatch, warehouse, production, sales, and accounts departments

•       Evaluate team performance and implement improvement initiatives

What You Bring

•       3-6 years of experience in dispatch operations, logistics coordination, or warehouse management

•       Experience in textile/yarn industry is highly preferred

•       Proven track record of managing high-volume dispatch operations

•       Experience with ERP systems (SAP, Tally, Oracle) and transportation management software

Educational Requirements:

  • Bachelor's degree in Logistics, Supply Chain, Business Administration, or related field.
  • Diploma in Logistics/Transportation Management is preferred.

Skills and Competencies

Technical Skills

•       Strong knowledge of transportation and logistics operations in manufacturing environment

•       Proficiency in MS Office (Excel, Word) for reporting and documentation

•       Understanding of GST compliance, e-way bill generation, and transport regulations

•       Knowledge of yarn packaging standards, quality specifications, and handling requirements

•       Familiarity with route optimization and freight management

•       Excellent organizational and time management abilities

•       Strong communication and interpersonal skills for coordinating with multiple stakeholders

•       Problem-solving mindset with ability to handle pressure and meet tight deadlines

Working conditions

•       Work environment: Manufacturing plant/warehouse with office and field components

•       Working hours: Full-time, may include extended hours during peak dispatch periods

•       Physical requirements: Ability to supervise loading operations and conduct warehouse inspections

•       Travel: Occasional travel may be required for coordination with transport hubs or customer sites.
