Role Summary –

  • Receive and process requests for business records access/ add new records.
  • Process requests from business for secure waste bin changeover.
  • Manage requests from the business for user and project folder structure setup within the Viewpoint software solution.
  • Assist with upload of digital documents into Viewpoint Project folders.
  • Recommends remediation actions as the need arises.
  • Assist with training on BP information management systems as required.
  • Provide research services for the business (mainly BP Legal & HR) for records relating to current litigation and HR matters etc.
  • Work with Information Manager and external Records Management supplier to ensure that records systems (RMS) at both BP and supplier are aligned and updated as the need arises.
  • First level liaison for the RMS system with external support organisation
  • Maintenance and access control of the Records Management Team's SharePoint site
  • Work with the Information Manager on the Records Retention program
  • Maintenance of the RMS and Viewpoint systems data
  • Incoming mail services receipt and processing
  • Liaison with BP's off-site storage providers regarding any physical records for between BP and providers Iron Mountain for AUS & The Information Management Group (TIMG) in NZ
  • Provide first level advice on archiving services to BP business units as required
  • Upload initial project documents into the appropriate folder structures
  • System upgrade testing as required

What You Will Deliver -

  • Information Governance :
  • Ensuring that the systems used for the management of records are accurately reflecting BP's operational and corporate records.
  • Ensuring business records are assigned retention periods to ensure records are held only for the period allowed under ANZ law.
  • Assist the business in the creation and delivery of digital records solutions
  • Stakeholder Management :
  • The detailed identification, analysis, management, monitoring and improvement of collaborator relationships in order to target and improve mutually effective outcomes.
  • Customer Support - Acting as a point of contact to support service users and customers reporting issues, requesting information, access, or other services.
  • Operational Excellence - Has a sound understanding of process and workflow streamlining, problem resolution and organisational change
  • Risk Management - Identifies external and internal factors that impact risk and mitigation opportunities. Identifies potential new or emerging risks / threats and implements mitigation plans
  • Change Management - Builds energy around a change using a detailed approach to transition from the present to the desired state
  • Digital Fluency - Optimally uses digital mentorship, tools, methodologies, and security measures for operating as a digital business. Uses digital tools to collaborate, organize, plan and reflect on digital data
  • Analytical Thinking - Systematically breaks down a sophisticated problem or process into component parts using logical analysis techniques to reach a solution. Logically assesses relationships, grasps interdependencies, and reviews trends within a sophisticated problem or situation. Challenges assumptions and reliability of acquired information
  • Decision Making – Makes decisions affecting both own tasks and those of others. Combines a variety of factors including commercial awareness, risk and financial expertise to make appropriate decisions and derive insights
