Job Description

The Data Manager is responsible for overseeing the collection, maintenance, analysis, and reporting of institutional data. This role ensures the accuracy, integrity, confidentiality, and security of student, staff, and academic records while supporting decision-making through timely reports and data insights. The Data Manager will work closely with academic, administrative, and IT teams to maintain efficient data management systems and ensure compliance with regulatory requirements.

Key Responsibilities

Data Management

  • Maintain and manage student, faculty, staff, admissions, examination, attendance, and academic records.
  • Ensure the accuracy, consistency, and completeness of data across all institutional systems.
  • Develop and implement data validation and quality assurance processes.
  • Perform regular data audits and resolve discrepancies.

Reporting & Analytics

  • Generate periodic reports on admissions, enrollment, attendance, examinations, academic performance, and institutional KPIs.
  • Prepare statutory and regulatory reports required by education boards, universities, accreditation bodies, and government agencies.
  • Support leadership with data analysis for strategic planning and decision-making.
  • Develop dashboards and management information reports.

Systems Administration

  • Manage the Student Information System (SIS), Learning Management System (LMS), ERP, and other institutional databases.
  • Coordinate with IT teams to ensure data security, system availability, backups, and smooth system performance.
  • Assist in system upgrades, testing, and implementation of new modules.

Compliance & Data Security

  • Ensure compliance with institutional policies and applicable data privacy regulations.
  • Maintain confidentiality of student and staff information.
  • Implement role-based access controls and monitor data security practices.

Collaboration & Support

  • Work closely with admissions, examinations, finance, HR, and academic departments to ensure accurate data entry and reporting.
  • Train staff on data management procedures and system usage.
  • Provide technical support related to data management and reporting.

Required Skills

  • Strong knowledge of Microsoft Excel (advanced functions, PivotTables, Power Query).
  • Proficiency in SQL and database management.
  • Experience with Power BI, Tableau, or similar reporting tools.
  • Understanding of educational data reporting and regulatory compliance.
  • Excellent analytical and problem-solving skills.
  • Strong attention to detail and accuracy.
  • Effective communication and interpersonal skills.
  • Ability to manage multiple priorities and meet deadlines.
