We are looking for a friendly, proactive, and customer-focused Customer Service Executive to support the daily operations of our clinic. Position: Customer Service Executive (Healthcare / TCM Clinic)
Location: Singapore Orchard / Paya Lebar
Salary: $2500 - $3500 per month

About Us: We are a reputable Traditional Chinese Medicine (TCM) clinic dedicated to providing holistic health and wellness solutions to our clients. Our clinic is known for its professional and caring environment, and we are looking for a motivated individual to join our team as a TCM Clinical Assistant.

Responsibilities:

  • Assist TCM physicians in providing patient care and treatments.
  • Prepare and maintain treatment rooms and equipment.
  • Manage patient flow and ensure smooth clinic operations.
  • Administer basic TCM treatments under the supervision of a physician.
  • Educate patients on prescribed treatments and herbal medicines.
  • Maintain accurate patient records and assist with administrative tasks.
  • Ensure the cleanliness and organization of the clinic.
  • Participate in clinic events and community outreach programs.
  • Selling of treatment and services

Requirements:

  • Prior experience in a TCM clinic or healthcare setting is a plus.
  • Strong communication and interpersonal skills.
  • Fluent in English and Basic Mandarin (to educate patients on correct consumption of TCM Herbal Medication and able to communicate effectively with Chinese-speaking patients and to assist in translating medical instructions and consultation notes)
  • Detail-oriented with strong organizational skills.
  • Ability to work independently and as part of a team.
  • Compassionate and patient-focused.

Patient Care & Customer Service

  • Welcome patients and visitors warmly, ensuring a positive and comfortable clinic experience.
  • Attend to patient enquiries professionally through phone calls, WhatsApp, email, and walk-in visits.
  • Build strong relationships with patients by providing excellent service and follow-up care.
  • Assist patients with appointment scheduling, treatment enquiries, and clinic services.

Appointment & Patient Management

  • Manage patient appointments efficiently and coordinate schedules with physicians and therapists.
  • Register new patients accurately and maintain up-to-date electronic patient records.
  • Keep practitioners informed of patient arrivals, rescheduling requests, cancellations, and other important updates.
  • Support patient retention and follow-up activities to encourage continued care and treatment compliance.

Insurance & Payment Administration

  • Verify insurance eligibility and assist patients with insurance-related enquiries.
  • Process medical insurance claims and ensure all required documentation is submitted accurately.
  • Assist with payment collection and provide clear explanations of available payment options and packages.

Clinic Operations & Team Support

  • Work closely with physicians, therapists, and clinic staff to ensure smooth daily operations.
  • Assist in coordinating patient care and ensuring a seamless patient journey.
  • Maintain accurate records, filing systems, and administrative documentation.
  • Support clinic promotions, health talks, events, and patient engagement activities.
  • Ensure patient confidentiality and compliance with healthcare regulations and company SOPs.
