Key Responsibilities
1. Costing, Estimation & Sheet Management
- Build accurate client estimates using Google Sheets templatesstrictly formula-based with no manual totals.
- Apply vendor rate sheets and common rates correctly across dcor, printing, infra, manpower, rentals, and floral categories.
- Execute precise unit math: sq-ft, running-ft, qty-based, per-head, per-day.
- Maintain clean particulars: correct item names, dimensions (LBH/LH), quantities, and grammar aligned with visuals.
- Add indirects, fees, discount policies and ensure margins remain compliant with company standards.
2. Vendor Rate & Production House Cost Integration
- Read and interpret Production House costing PDFs accurately.
- Reconcile cost items across vendor quotes, rate sheets, and internal costing to ensure zero omissions.
- Identify missing scope-based items and add proactively as per costing guidelines.
- Maintain vendor-rate fluency and verify exceptions via internal vendor groups.
3. Internal QC, Audit & Compliance
- Conduct thorough QC before submitting estimates for audit.
- Detect hidden discounts, incorrect formulas, manual overrides, and policy deviations.
- Ensure margins, discount bands, buffers, and fee caps follow company policies.
- Maintain clean file structure, version control, proofs, and documentation.
4. Coordination with Client Servicing & Experience Teams
- Acknowledge briefs/PPTs with accurate ETAs and communication discipline.
- Coordinate scope clarifications, missing information, and change requests.
- Provide real-time updates via company tools (PowerCentral, internal WhatsApp groups).
- Support pre-production alignment and ensure costing reflects final experience decisions.
5. Speed, Accuracy & Turnaround Excellence
- Deliver fast TAT using templates, checklists, and structured workflow.
- Prioritize urgent estimates, escalate blockers, and avoid delays.
- Maintain accuracy under pressure with strong costing hygiene.
- Continuously optimize formulas, templates, and processes.
Software Proficiency (Must-Have)
- Google Sheets (Advanced):
XLOOKUP, INDEX-MATCH, IF/AND/OR, conditional logic, data validation, protected ranges, error checks, array formulas, structured templates.
- Google Workspace: Google Drive, Docs, Slides for collaboration and documentation.
- PDF Tools: Basic PDF editing, extraction, and annotation (Adobe/SmallPDF).
- Communication & Workflow Tools: WhatsApp Business, PowerCentral 1.0 (internal), email workflow.
- Data Handling Tools: Basic understanding of Google Forms, data cleanup, and sheet structuring.
- Nice-to-Have Software Skills
- Google Apps Script (automation, validations).
- Basic Excel proficiency (pivot tables, VLOOKUP, formatting).
- Task/project tools like Notion, Trello, or Airtable (if used for internal tracking).

Education & Experience
- Bachelor's in Commerce, Finance, Event Management, Business Admin, Accounting, or related field.
- 13 years of experience in costing, estimation, data operations, finance support, or event costing roles.
- Exposure to event vendor ecosystems or Production House costing is a plus.
Salary Range
15,000 25,000 per month (based on experience & skill match)
