Position Overview

We are looking for a sharp, organised Project Coordinator to sit at the heart of our delivery operations keeping engagements on track, clients informed, SLAs met, and delivery teams productive. This is not a passive administrative role. You will own the coordination layer across live Oracle Cloud implementations, support engagements, and internal initiatives from project kick-off through go-live and into managed support.

Responsibilities

Project Delivery & Planning

  • Maintain project plans, timelines, and milestone trackers across concurrent implementation and support engagements.
  • Track task completion against plan, identify deviations early, and escalate risks and delays to the Project Manager proactively.
  • Maintain RAID logs (Risks, Actions, Issues, Dependencies) throughout the full project lifecycle.
  • Coordinate sprint and phase planning sessions; document outcomes, decisions, and action items with clear owners and due dates.

Project Reporting

  • Prepare, own, and circulate weekly and monthly project status reports for internal leadership and client stakeholders.
  • Build and maintain project dashboards and delivery health trackers, giving real-time visibility to the Project Manager and PMO.
  • Compile project performance data including utilisation rates, milestone achievement, SLA adherence, and risk status.
  • Support preparation of Steering Committee decks, project review packs, and executive summaries.
  • Generate end-of-phase and end-of-project reports including lessons learned and delivery metrics.

Resource Onboarding & Offboarding

  • Coordinate the end-to-end onboarding of new project resources — internal consultants, contractors, and client-side team members — ensuring access, documentation, and induction are completed before day one.
  • Manage system access requests for project tools, environments, and client portals in coordination with IT and the client's technical team.
  • Maintain and communicate the project resource directory and RACI matrix, keeping it current throughout the engagement.
  • Coordinate structured offboarding of resources at project close or on rotation — including access revocation, knowledge transfer, and handover documentation.
  • Track resource allocation across projects and flag capacity conflicts or gaps to the Delivery Manager in advance.

SLA Management — Support Projects

  • Own SLA tracking for all active support and managed services engagements — monitoring response times, resolution times, and ticket volumes against contracted targets.
  • Maintain a live SLA dashboard and generate weekly SLA performance reports for HR and client distribution.
  • Escalate SLA breaches or at-risk tickets to the Project Manager immediately with supporting detail and proposed resolution steps.
  • Coordinate with functional and technical consultants to ensure tickets are triaged, assigned, and resolved within SLA windows.
  • Support SLA review meetings with clients, preparing performance data, trend analysis, and improvement action plans.

Stakeholder & Client Coordination

  • Serve as the central communication point across delivery teams, client contacts, and internal functions (People & Culture, Finance, IT).
  • Schedule and organise project meetings, workshops, UAT sessions; circulate agendas and minutes.
  • Suport Project Managers project documentation — SOWs, change requests, meeting minutes, sign-off records — with version control and central filing.
  • Track and chase open action items from client and internal meetings, ensuring accountability and timely closure.
  • Coordinate the monthly billing cycle — timesheet compliance, milestone-based billing triggers, and invoice support data.

Skills / Qualifications

  • 2 - 4 years in a project coordination, PMO, or delivery management support role, preferably in IT consulting or system integration.
  • Demonstrated experience owning project reporting — status packs, dashboards, and stakeholder communications.
  • Hands-on experience with SLA tracking in a support or managed services environment.
  • Experience coordinating resource onboarding and offboarding across project teams.
  • Strong command of project tracking tools such as JIRA, MS Project, Smartsheet, or equivalent.
  • Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP, conditional formatting) and PowerPoint.
  • Excellent written and verbal communication — comfortable producing client-facing documents and running project meetings.
  • Proven ability to manage multiple concurrent engagements without dropping the ball.
  • Understanding of SDLC and structured delivery methodologies (Agile, Waterfall, or hybrid).

Desirable

  • Exposure to Oracle Cloud implementations (ERP, HCM, SCM, OIC, APEX, or OCI).
  • Experience supporting GCC or UK-based clients across time zones.
  • Familiarity with project P&L tracking, utilisation reporting, and billing coordination.
  • CAPM, PMP, or Prince2 Foundation certification (or actively pursuing).
  • Experience working within a PMO framework or Centre of Excellence.
