General Overview The Coordinator will be responsible to review final and interim reports for completeness for both TRF and RFI requirements for closure, contact the concerned Rotarians for missing information and close the grant in databases, send out the closure letter when complete. He/she will be responsible to evaluate online reports, Utilization Certificates, Statement of Receipt and Payment accounts and related documents submitted by project contacts and ensure their adherence to the statutory compliances. You Will Have - Bachelor's degree essential (preferably B. Com.) post-graduation in relevant field preferred
- A minimum of five years of experience in member associations, volunteer management, development, or a related field (i.e., sales/marketing, public relations, non-profit management) prior volunteer management or Rotary experience strongly preferred
- Familiarity with personal computers, CRM systems, and database applications required, including advanced experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong inter-personal skills and a professional demeanor, strong commitment to customer service and proven ability in oral and written communications, including public speaking and promotional writing
- Ability to interact with high-level international business leaders and volunteers
- Demonstrated ability to be a self-starter, proactively schedule and manage time, and handle multiple tasks and projects in order to reach goals in a timely fashion

- Traveling to/within assigned territory approximately 2-3 times per year (including weekends) to represent Rotary International at professional meetings and events and help create awareness about Rotary Grants application and the importance of reporting train club, district and zone leadership on how to utilize the resources available in the Grant Center online reports available for grant statistical information.
You Will Be Responsible For Review Rotary grants and follows up with respective clubs / districts to ensure compliance with required reporting requirements for Rotary Grants. Follow-up with the clubs and districts to procure utilization certificates for RF(I) compliances. Maintain records for receipt of grant documents, due/overdue list, and closure list. Email scanned Utilization certificates/bank statement to Finance and retaining the same at appropriate location. Preparing record of refund draft/cheques and handing over to finance and entering the refund amount in SmartSimple. Maintain & update the list of hard copy received in the office. The Coordinator should be thoroughly informed on current Rotary Foundation programs and policies with a view to providing accurate information to Rotarians. To answer queries related to Scholarships, Vocational Training Teams, and other Rotary grant related activities. Follow-up with the club/district for information/documentation that are risking suspension as per the 30-month warning letters sent by the Stewardship Team. Work closely with the Stewardship team on the World Reporting Compliances. Update and maintain applications including SmartSimple and generate appropriate reports. Also be familiar with Oracle, BI, NETFORUM, SHARE databases & Team sites for generating appropriate reports for sharing it with Stakeholders. Ensure that the accepted grant reports are compliant with the statutory requirements. Work with the grants team internally and with WHQ to resolve routine grant issues. Represent grants team at Rotary Foundation (India) and district events like Grant management Seminars. Perform duties of team members during their absence in addition to own job responsibilities. Internal Contacts - RI Secretariat staff from all functional teams.
External Contacts - Rotary senior leaders, Rotary regional leaders, club and district leaders, Rotarians, Rotaractors, other agencies and members of the general public.
Prior Experience - Minimum Five year's job experience, cross cultural and international experience desirable.
