Role Purpose
The Conversion Officer will be responsible for driving the conversion activity for Newcastle University in India, ensuring strong engagement from offer stage through enrolment. Embedded within the Newcastle University HE Launchpad account at UKIBC India, the role focuses on applicant engagement, agent coordination, internal stakeholder alignment, and data-led conversion strategies to maximise enrolment outcomes. The position will directly report to the Principal Advisor - India for Newcastle University.
Key Responsibilities
Applicant Conversion & Engagement
- Act as the primary point of contact for Newcastle University offer-holders in India.
- Proactively engage applicants through email, telephone, 1-2-1 online sessions, WhatsApp, and webinars to drive progression from offer to enrolment.
- Provide clear and accurate guidance on offer conditions, acceptance deadlines, deposits, accommodation, CAS timelines, visa processes, and pre-departure requirements.
- Identify at-risk applicants and implement timely interventions to improve conversion.
- Manage India Offer Holder WhatsApp groups, ensuring pro-active support, timely communication and consistent university messaging.
Agent & Counsellor Coordination
- Work closely with University-appointed education agents and counselling partners across India to drive offer-holder conversion.
- Support agent follow-ups, conversion campaigns, and applicant counselling activities.
- Ensure agents remain aligned with Newcastle University messaging, timelines, and compliance requirements.
Internal Coordination & Engagement
- Work closely with India team appointed within UKIBC India, responsible for student recruitment and admission support.
- Liaise regularly with the Newcastle University's UK-based operation, recruitment, and marketing teams.
- Respond to internal queries related to Indian qualifications and application-specific context.
- Coordinate resolution of applicant queries, escalations, and conditional offer clarifications.
- Maintain internal file system for efficient workflows and timely outcomes.
- Prepare relevant PowerPoint presentations in consultation with faculties, schools and professional services colleagues.
- Draft clear, timely and targeted CRM communications aligned to applicant needs.
Conversion Events & Outreach
- Support the planning and delivery of conversion-focused activities, including:
- In-person Offer-holder events
- Webinars
- 1-2-1 online sessions
- Pre-Departure briefings
- Represent UKIBC India and Newcastle University professionally at relevant India-based events (on need basis).
Reporting & Performance Tracking
- Track and evaluate the effectiveness of OH events.
- Prepare regular reports on:
- Offer-to-acceptance and acceptance-to-enrolment conversion
- Applicant engagement trends
- Key challenges, risks, and market insights
- Contribute data-driven insights to improve conversion strategy and applicant experience.
Undertake additional duties as directed by the Principal Advisor - India.
Person Specification
Essential
- Bachelor's degree (master's preferred).
- 25 years experience in international student recruitment, admissions, or conversion-focused roles.
- Excellent written and verbal communication skills.
- Strong organisational skills with the ability to manage high application volumes.
- Comfortable working independently in a remote/work-from-home environment.
- Proficiency in CRM systems, MS Office (Excel, PowerPoint), and virtual engagement tools.
Desirable
- Prior experience working with UK universities (preferably Russell Group) or international education consultancies.
- Understanding of UK university admissions processes, student visa requirements and applicant lifecycle.
- Knowledge of Indian student decision-making patterns and counselling dynamics.
- Experience working with multiple stakeholders and university teams in the UK and India.
