General
Providing administration assistance in the operational management of a large complex client portfolio or multiple smaller portfolios under guidance from a senior colleague.
Liability and Payments
Verification of rates bills issued by billing authorities against data held in GLHIMSin respect of properties throughout England, Wales, Scotland and Ireland.
Resolving queries where rates bills are not verified, which may involve assistance from a senior colleague.
Liaising with billing authorities to correct matters relating to occupational changes, changes to the rating list and exemptions and reliefs.
Ensuring all portfolio movement is actioned appropriately.
Obtaining information from clients and responding to queries.
Refunds
Prepare and submit formal refund requests to relevant billing authorities.
Maintain regular communication with billing authorities to monitor progress of refund recovery and escalate delays to the account manager.
Track and chase outstanding refunds to ensure timely resolution.
Maintain accurate records of all refund claims, correspondence and outcomes, including updating data where refunds are received and case closed.
Reporting
Assisting in delivering accurate reports to clients and senior management.
Meeting all KPIs as set out in Client Contracts and Service Level Agreements to agreed deadlines and to standards agreed with the Client Director and Line Manager.
Other Duties
Assisting with Client Monies tasks when appropriate.
Accurate and timely execution of duties.
Records are kept up to date and all annotations made to ensure transparency.
Contributing to client satisfaction.
Prioritisation of incoming workload and managing deadlines and key dates.
Raising any changes required to client data or procedure manuals to senior colleagues.
