Role Overview
As a Conference Producer, you will be responsible for developing conference agendas, securing high-quality speakers and moderators, driving delegate participation, supporting sponsorship sales, and managing the seamless execution of conference content on-site. This role requires a mix of research, stakeholder management, content curation, commercial understanding, and event production expertise.
Key Responsibilities
Conference Strategy & Content Development
- Research industry trends and emerging topics to develop relevant, engaging conference agendas.
- Curate conference themes, session formats, panel discussions, keynote presentations, and workshops.
- Identify and recruit industry leaders, experts, policymakers, and thought leaders as speakers and moderators.
- Develop speaker briefs, session outlines, and content guidelines to ensure high-quality discussions.
Speaker & Delegate Management
- Build and maintain relationships with speakers, moderators, industry associations, and key stakeholders.
- Manage end-to-end speaker communication, invitations, confirmations, briefing calls, and logistics.
- Support delegate acquisition initiatives through outreach and engagement with target audiences.
- Coordinate with marketing teams to promote conference programs and drive registrations.
Sponsorship & Commercial Support
- Work closely with sales teams to develop conference sponsorship opportunities and speaking packages.
- Support sponsor acquisition by identifying relevant prospects and helping create compelling sponsorship propositions.
- Ensure sponsor deliverables, speaking slots, branding opportunities, and content integrations are executed as agreed.
Event Production & On-Ground Execution
- Coordinate with operations, AV, stage management, and production teams to ensure seamless conference delivery.
- Develop detailed conference run sheets, speaker schedules, cue sheets, and production timelines.
- Manage speaker hospitality and ensure speakers and moderators are briefed and prepared before sessions.
- Oversee stage flow, speaker transitions, announcements, timing management, and session execution.
- Liaise with emcees, moderators, production teams, and speakers to ensure smooth movement on and off stage.
- Troubleshoot and resolve on-site issues quickly while maintaining a professional attendee experience.
Key Requirements
- Minimum 5–8 years of experience in conference production, B2B events, content development, or event management.
- Proven experience curating conference programs and managing speaker engagement.
- Strong understanding of delegate-driven conference models and audience engagement strategies.
- Experience working with sponsors and integrating commercial objectives into conference content.
- Excellent project management, organizational, and stakeholder management skills.
- Strong written and verbal communication skills with the ability to engage senior industry leaders.
- Ability to manage multiple priorities and perform effectively in fast-paced event environments.
- Proficiency in Microsoft Office tools, particularly PowerPoint, Excel, and Outlook.
