Job Description

We seek a meticulous and proactiveConference Operations Executiveto manage the end-to-end logistics and seamless on-site execution of our large-scale national and international events.
Specific Responsibilities
Execute end-to-end operational plansfor all assigned conferences, ensuring strict adherence to timelines and project critical paths.
Develop detailed logistical documentation, including event schedules, floor plans, and comprehensive run-of-show documents for all internal and external teams.
Manage all venue and technical logistics, including room configuration, F&B, security, AV requirements, and registration/check-in processes.
Source, negotiate, and manage contractswith key suppliers (AV, catering, printing, etc.) to ensure optimal cost-efficiency.
Maintain strict budgetary control, track expenditures, process invoices, and reconcile all event operational costs.
Serve as the primary on-site operations lead, overseeing setup, live execution, and breakdown, and resolving real-time logistical issues decisively.
Coordinate speaker and sponsor logistical needs, ensuring timely delivery of materials and flawless technical support for presentations and exhibitions.
Key Requirements
46 years of prior experience in Conference Operations, MICE, or Exhibition Logistics.
Proven ability to manage complex operational budgets and vendor relationships.
Exceptional organizational skills, project management acumen, and unwavering attention to detail.
Excellent written and spoken fluency in English is essential.
Proficiency in MS Office software (e.g., Word, PowerPoint, Excel) and familiarity with event management platforms.
