Role Overview
The Compliance Specialist is responsible for managing and administering the end-to-end statutory and regulatory compliance framework across multiple operating companies (Opcos). The role encompasses compliance software administration, regulatory reporting, government liaison, statutory and corporate policies compliance, trainings and communications. The incumbent will work closely with members of Legal department, finance department and EHS department (amongst others)to ensure that all applicable legal and compliance obligations are identified, tracked, and met in a timely and accurate manner.
Key Responsibilities
Compliance Software Administration
- Serve as the primary System Administrator for the statutory compliance management software (Complinity or equivalent) across all designated Opcos, with full control over compliance setup, user management, location management, and module configuration.
- Implement and onboard new Opcos onto the compliance management platform, including planning, coordinating kickoff calls with General Managers, preparing implementation schedules, and conducting end-to-end rollout.
- Impart software training to new and existing employees across Opcos, ensuring familiarity with the platform and a clear understanding of applicable compliance requirements and their implications.
- Raise and track helpdesk tickets to resolve compliance and software-specific queries raised by individual Opcos, ensuring timely resolution.
- Audit the quality and adequacy of evidence uploaded into the compliance system by existing users, and recommend corrective action where required.
- Validate licensed user lists and locations for each Opco, recommend changes to enterprise license agreements with the software vendor, and coordinate the addition or deletion of users and locations as required.
- Ensure 100% reporting compliance within the platform review and monitor dashboards, compliance reports, and certificates of compliance on a regular basis.
- Implement additional modules - including Licenses, Contracts, and Litigation - for Opcos that are currently managing these functions manually.
- Provide structured feedback and support to the software vendor for system enhancements and rectifications to ensure the platform aligns with organizational requirements.
Compliance Reporting & Monitoring
- Prepare and circulate monthly compliance MIS reports - including pie charts and graphical analysis - to General Managers, Directors, Functional Heads, and relevant associates.
- Identify and escalate instances of high non-compliance to senior leadership, propose solutions, and follow up to ensure resolution.
- Send targeted reminders to non-compliance defaulters, understand the root cause of non-compliance at the entity level, and work collaboratively to resolve systemic issues.
- Conduct compliance mapping exercises in consultation with relevant teams upon changes to Opco structure, locations, or applicable regulatory requirements.
- Complinity tool management and supervision
Regulatory Registrations & Certifications
- Guide and help other functions in obtaining and renewing industry-specific permits, licenses and registrations
- Monitor and ensure compliance with display obligations applicable to office and warehouse premises, including labor law-related displays, annual returns, and S&E registrations.
Contract, Vendor & Legal Support
- Review and assist in drafting contracts with compliance software vendors, environmental compliance vendors, and recyclers, under the guidance of senior legal counsel.
- Resolve day-to-day legal and compliance queries raised by Opcos and provide structured guidance to ensure compliance obligations are met.
- Identify gaps in existing organizational policies and procedures and assess alignment with applicable Indian laws recommend updates to the General Counsel.
- Assist the legal team on IT security assessments and compliance-related evaluations as required.
Internal Audit & Inspection
- Conduct periodic internal compliance audits of warehouses, offices, and other premises prepare and submit detailed audit reports to the General Counsel and Opco Directors/GMs.
- Monitor and verify that all display-related compliance requirements are properly maintained at all locations.
Regulatory Intelligence & Advisory
- Track and monitor legislative and regulatory developments - including laws passed by Parliament that are not yet in effect - and proactively inform the General Counsel of their potential impact on the organization.
- Engage with external legal and compliance vendors on the implications of upcoming regulatory changes, including labor law reforms, data privacy legislation, and sector-specific regulations.
Qualifications & Experience
- Bachelor's degree in Law (LLB) or a related field.
- 7 to 9 years of experience in a statutory compliance, regulatory affairs, or legal operations role, preferably in a multinational corporate environment with exposure to multiple business entities.
- Demonstrated experience in administering compliance management software platforms across multiple legal entities.
- Strong working knowledge of Indian statutory and regulatory compliance obligations across labor, environment, trade, and sector-specific legislation.
- Hands-on experience with government portals including CPCB, NPPA IPDMS, and other regulatory platforms.
- Experience in EPR compliance and engagement with authorized recyclers and PROs is preferred.
- Familiarity with foreign trade policy and import/export compliance frameworks is an advantage.

- Strong organizational and project management skills with the ability to manage multiple Opcos and compliance workstreams simultaneously.
- Excellent communication skills - written and verbal - with the ability to engage effectively with General Managers, Directors, government officers, and external vendors.
- Analytical mindset with the ability to interpret regulatory requirements and translate them into actionable compliance obligations.
- High attention to detail, particularly in the review of evidence, audit trails, and regulatory documentation.
- Proactive, self-driven, and able to work independently with minimal supervision.
- Proficiency in MIS reporting, including preparation of dashboards, graphs, and compliance summaries for senior leadership.
- Strong interpersonal skills and the ability to build relationships across functions and geographies.
