The Opportunity

We're hiring a Senior Client Onboarding, Project & Materials Manager to own client onboarding, manage active manufacturing programs, and maintain critical back-end operations including specification management, vendor qualification, and SAP master data.

You'll be the connective thread between commercial, quality, supply chain, and client teams, working remotely from India on U.S. business hours using Microsoft Project and the full M365 toolset provided by Hubot.

What You'll Own

Client Onboarding

  • Primary client contact from contract execution through first production run
  • Lead onboarding calls, capability presentations, and documentation delivery including quality agreements, SOPs, and technical specifications
  • Build and maintain milestone schedules and status reports in Microsoft Project, SharePoint, and Teams
  • Ensure clean handoff from business development into active project management

Project Management - Two Tracks

Technology Transfer

  • Manage transfer of customer specs, formulas, analytical methods, and manufacturing processes into Hubot's production environment
  • Coordinate documentation readiness including batch records, test methods, and specifications before first run
  • Align SAP master data and part numbers prior to production activation
  • Support transfer risk assessments and gap analyses with quality and technical teams

Innovation Projects

  • Manage new product development from customer brief through lab scale, pilot, and commercial launch
  • Translate customer briefs into internal project plans with clear milestones, owners, and stage gates
  • Coordinate formulation, analytical, regulatory, quality, and production teams through each phase
  • Own client-facing communication throughout: structured updates, expectation management, and risk escalation
  • Drive pilot to commercial scale, coordinating scale-up validation, packaging trials, and first production readiness

Specification Management

  • Own the full spec lifecycle: creation, revision, approval routing, version control, and distribution
  • Manage spec change requests end to end, tracking approvals, timelines, and documentation updates
  • Ensure all specs are approved before first production run

Vendor and Supplier Qualification

  • Manage end-to-end supplier qualification including questionnaires, documentation, approvals, and re-qualification
  • Maintain vendor records and coordinate quality issue resolution between vendors and internal teams

SAP Master Data and Part Numbers

  • Create and maintain part numbers, item masters, and material records in SAP
  • Coordinate with procurement, planning, and quality to validate accuracy before part activation

What You Bring

  • 5+ years of client-facing project management in a regulated manufacturing, CDMO, or pharmaceutical environment
  • Hands-on Microsoft Project and M365 experience including SharePoint, Teams, Planner, and Excel
  • Direct SAP experience in material master creation, item master management, or procurement modules
  • Proven ability to manage technology transfer or new product development projects end to end
  • Exceptional written and verbal English communication skills
  • Strong documentation discipline and ability to hold cross-functional teams accountable without direct authority
  • Comfortable working independently in a remote environment on U.S. business hours

Preferred:

  • Background in pharmaceutical, CDMO, or personal care contract manufacturing
  • Familiarity with GMP quality systems including quality agreements, change control, and deviation management
  • Experience building onboarding or client success frameworks from scratch
  • PMP, CAPM, or equivalent certification
