1 Role Overview

The Project & Research Coordinator is responsible for ensuring smooth execution of all ongoing projects by coordinating between the founder, sales team, creative team, and clients.

This person will track tasks, conduct research, manage client communication, organize project timelines, and ensure timely completion of deliverables.

This role is critical in ensuring that no tasks are missed, all projects move swiftly, and the founder gets complete support in decision-making and execution.

2 Key Responsibilities

A. Project Management & Execution

  • Maintain and update project dashboards (Notion / Trello / Sheets).
  • Track tasks of video editors, designer, content creator, and sales team.
  • Ensure on-time delivery of all content, creatives, and project outputs.
  • Perform daily follow-ups with team members and maintain accountability.
  • Share a daily project status update with the founder.

B. Client Coordination & Communication

  • Serve as the single point of contact between clients and internal teams.
  • Collect briefs, missing documents, creative assets, and approvals from clients.
  • Communicate timelines and expectations clearly to clients.
  • Schedule and coordinate client meetings, weekly reviews, and follow-ups.
  • Maintain client satisfaction and resolve small issues proactively.
  • Drafting WhatsApp/Email for clients.

C. Research & Strategy Assistance

  • Conduct research on:
  • franchise models,
  • competition,
  • market trends,
  • brand insights,
  • industry opportunities.
  • Prepare research notes, summaries, and reports for founder and sales team.
  • Assist in preparing proposals, pitch decks, and strategic advisory materials.
  • Research new tools and best practices to improve team output and efficiency.

D. Documentation & Reporting

  • Maintain client folders, proposal files, agreements, and documentation.
  • Prepare MOMs (Minutes of Meeting) after every client and internal call.
  • Maintain CRM and ensure all client statuses are updated.
  • Track franchise inquiries and follow-ups.

E. Internal Coordination

  • Work closely with sales team for smoother follow-ups.
  • Support creative team with clear briefs and timelines.
  • Resolve communication gaps between departments.
  • Ensure projects run without delays or miscommunication

3 Skills & Qualifications

  • 13 years of experience in operations, client servicing, project coordination, or research.
  • Strong communication skills (written & verbal).
  • Proficiency in Excel, Google Sheets, Notion, Trello, or similar tools.
  • Highly organized, disciplined, and detail-oriented.
  • Ability to take initiative and follow up consistently.
  • Comfortable working under timelines and managing multiple projects.
  • Basic understanding of marketing, branding, and content workflows is preferred.

4 KPIs (Key Performance Indicators)

  • On-time project delivery rate
  • Reduction in founder follow-ups
  • Client satisfaction & response time
  • Task completion tracking accuracy
  • Quality and depth of research reports
  • Internal team coordination efficiency
  • Number of missed deadlines (should be near zero)

5 Salary Range
