Job Description

THE OPPORTUNITY

We are a fast-scaling, multi-venture promoter group operating across specialty chemicals, medical devices, biotech, and government innovation partnerships. The Managing Partner oversees multiple entities, a PhD programme at IIT Bombay, global travel, and high-stakes stakeholder relationships spanning industry, government, and academia.

We are looking for an exceptional individual to serve as Chief of Staff, Executive Assistant, and Personal Secretary — a single, high-trust role that combines strategic support, flawless execution, and personal efficiency management. This is not a back-office admin position. This is the right hand of a founder-leader who moves fast, thinks big, and expects excellence.

WHO YOU ARE

  • A polished, articulate, and exceptionally well-groomed professional who commands presence in any room — from boardrooms to government offices to global conferences.
  • Sharp, composed, and naturally charismatic with outstanding communication skills in English (Hindi and Marathi are strong advantages).
  • A multitasker who thrives under pressure — you juggle complex calendars, last-minute travel, investor meetings, and personal errands without breaking a sweat.
  • Hungry for growth. You see this role not as a job but as an MBA-on-steroids — direct exposure to venture building, deal-making, policy, and innovation.
  • Willing and eager to travel extensively — domestic and international — sometimes at short notice.
  • Comfortable with long, irregular hours. You understand that supporting a high-output leader means being available when it matters, not just 9-to-5.
  • Tech-savvy and digitally fluent: Google Workspace, MS Office, AI tools, and quick to learn any new platform.
  • Age 23–30. We value energy, ambition, and coachability over years on a resume.

WHAT YOU WILL DO

Strategic & Operational Support

  • Manage the Managing Partner's calendar, priorities, and daily rhythm across multiple ventures.
  • Prepare briefs, presentations, MIS dashboards, and talking points for meetings with investors, government officials, and partners.
  • Track action items across entities, follow up with internal teams (CEOs, CFOs, R&D leads), and ensure nothing falls through the cracks.
  • Draft and manage correspondence — formal letters, emails, WhatsApp communications — on behalf of the MP.

Travel & Event Management

  • Plan and coordinate complex domestic and international travel: flights, hotels, visas, itineraries, and ground logistics.
  • Organise dinners, investor events, and networking engagements with impeccable attention to detail.
  • Accompany the MP on select trips, conferences, and government meetings as a professional representative.

Personal & Lifestyle Management

  • Manage household coordination, personal appointments, family logistics, and vendor relationships.
  • Handle confidential personal and financial matters with absolute discretion.

Networking & Stakeholder Interface

  • Serve as the first point of contact for external stakeholders — screen calls, manage access, and represent the MP's office professionally.
  • Build and maintain a CRM of key relationships: government contacts, investors, industry leaders, academic collaborators.

QUALIFICATIONS

  • Graduate or Postgraduate (MBA/Mass Communication/Hotel Management/Liberal Arts preferred).
  • 1–4 years of experience in EA/PA/CoS roles, hospitality, consulting, or founder-support functions. Exceptional freshers from premium institutes will be considered.
  • Outstanding personality, grooming, and interpersonal presence.
  • Impeccable written and spoken English. Fluency in Hindi; Marathi is a plus.
  • Valid passport; willingness to travel 30–40% of the time.
