Job Description

Position Title: Associate, Accounting (RG Foundation)

Location: Mohali

Position Type: Regular, Full-Time

What you'll do:

Budgeting & Financial Planning:

  • Assist Foundation leadership in the preparation of annual budgets, including all program and fundraising budgets.
  • Support the development of grant proposal budgets, providing input on allowable and allocable expenses under each grant.
  • Collaborate with the FP&A team on monthly forecasts for programs, ensuring alignment with organizational goals.
  • Assist in budget revisions and ensure that all changes are accurately reflected in financial reports.

Expense Tracking & Reconciliation:

  • Maintain and track budgetary utilization, ensuring relevant approvals are obtained and all expenditures adhere to budgeted plans.
  • Reconcile bank payments with the approved budget, ensuring alignment with actual spending and utilization.
  • Monitor and reconcile the Foundation's grants, ensuring expenses are in line with the grant budget and procurement processes are followed.
  • Work closely with the Procurement team to ensure compliance with the procurement process and budgetary constraints.

Grant Management & Compliance:

  • Support financial reporting for grants, ensuring compliance with donor requirements, timelines, and financial regulations.
  • Maintain detailed records of expenses for each grant and ensure compliance with donor agreements and fund utilization guidelines.
  • Assist in preparing documentation for donor utilization certifications and serve as the point of contact for financial updates with donors.

Auditing & Reporting Support:

  • Assist in preparing for external audits by analyzing and scheduling general ledger accounts, providing required documentation, and responding to auditor queries.
  • Support the preparation of financial documentation for donor reporting, ensuring timely and accurate updates on grant utilization and compliance.
  • Secure financial information through database backups and safeguard the confidentiality of organizational data.

Financial Reporting & Month-End Close:

  • Prepare and review monthly, quarterly, and annual financial statements for internal stakeholders, ensuring accuracy and alignment with the organization's standards.
  • Lead the preparation of financial reports in line with the organization's standard operating procedures, including the month-end close process.
  • Provide insights into financial performance, highlighting variances, and offering recommendations for corrective action when necessary.

General Ledger & Account Reconciliation:

  • Verify, allocate, post, and reconcile accounts payable and receivable transactions.
  • Review and prepare accruals, provisions, and other necessary accounting entries, ensuring accurate and timely recording.
  • Maintain and balance accounts by verifying, allocating, and resolving discrepancies across all financial records.

Confidentiality & Security:

  • Protect the organization's financial information by maintaining confidentiality and securing sensitive data.
  • Complete database backups and ensure all financial information is stored securely to prevent unauthorized access.

Skills & Qualifications:

  • Thorough knowledge of basic accounting procedures with working knowledge of Indian GAAP
  • At least 7 + years with a Chartered Accountant degree
  • Familiarity with financial accounting statements.
  • Working knowledge of MS Excel
  • Accuracy and attention to detail.
  • Aptitude for numbers and quantitative skills.
  • Knowledge of MS Office
  • Working knowledge of Accounting Software ERPs.
  • Good to have exposure in NGO
