Job Description

Role Overview

The Center Manager will be responsible for end-to-end management of the coworking center, including daily operations, handling sales enquiries, client onboarding, member experience, vendor coordination, and basic HR operations.
This role acts as the single point of contact for members, prospects, and internal teams to ensure smooth functioning and high occupancy of the coworking facility.

Key Responsibilities

1. Coworking Operations & Facility Management

  • Oversee day-to-day operations of the coworking center.

  • Ensure smooth functioning of:

    • Internet & IT infrastructure (coordination with vendors)

    • Power backup, AC, housekeeping, pantry, security

  • Coordinate with facility vendors for maintenance, repairs, and AMC compliance.

  • Conduct daily checks for cleanliness, safety, and infrastructure readiness.

  • Maintain inventory of consumables and office supplies.

  • Ensure adherence to SOPs, safety norms, and building rules.


2. Sales Enquiries & Occupancy Management

  • Handle walk-in, telephonic, website, and portal-based sales enquiries.

  • Conduct site tours and explain coworking plans (desk, cabin, meeting rooms).

  • Prepare and share pricing proposals, quotations, and agreements.

  • Follow up on leads and work towards maximizing occupancy.

  • Coordinate onboarding of new members including:

    • Agreement signing

    • KYC documentation

    • Access control & Wi-Fi credentials

  • Upsell additional services such as:

    • Meeting rooms

    • Virtual office

    • Event space

    • Printing & other add-ons


3. Member Experience & Community Management

  • Act as the primary point of contact for existing members.

  • Resolve member issues and escalations promptly.

  • Ensure a professional, welcoming, and community-driven environment.

  • Organize or coordinate networking events, workshops, or internal activities (if applicable).

  • Manage member communication via email, WhatsApp, or internal portals.


4. HR Operations & Staff Management

  • Manage on-site staff (front desk, housekeeping, security if in scope).

  • Coordinate attendance, duty rosters, leaves, and replacements.

  • Support hiring coordination for center staff (with HR / management).

  • Assist in onboarding new employees/vendors.

  • Ensure staff discipline, grooming, and service standards.

  • Act as a liaison between central HR and on-site employees.


5. Billing, Documentation & Reporting

  • Coordinate monthly billing, invoicing, and collections with accounts team.

  • Track renewals, exits, and occupancy metrics.

  • Maintain records for:

    • Client agreements

    • KYC documents

    • Vendor contracts

  • Prepare weekly/monthly reports on:

    • Occupancy

    • Revenue

    • Enquiries & conversions

    • Operational issues


6. Compliance & Process Adherence

  • Ensure compliance with:

    • Fire & safety norms

    • Local authority regulations

    • Building society rules

  • Follow internal SOPs for operations, sales, and HR processes.

  • Maintain confidentiality of client and company data.



Requirements

  • Strong communication and interpersonal skills

  • Ability to multitask across operations, sales, and people management

  • Basic understanding of commercial real estate / coworking business

  • Comfortable using CRM, Excel, email, and basic billing tools

  • Problem-solving and conflict resolution skills

  • Professional appearance and demeanor

Preferred Qualifications & Experience
  • Graduate / MBA preferred

  • 37 years experience in:

    • Coworking / Business Center / Hospitality / Real Estate operations

  • Prior exposure to:

    • Sales handling

    • Client servicing

    • Team coordination

  • Experience in startup or fast-growing environment is a plus
