Job Description

Indie Delights Pvt Ltd is a frozen food manufacturing company based in Vadodara, Gujarat. We work across customer coordination, distribution, product development, packaging and labelling, and domestic and export business operations.

We are looking for a proactive and organised Business Operations Coordinator who can independently manage day-to-day responsibilities, maintain accurate records, coordinate across departments and help improve the company's existing systems.

This is not a routine data-entry or follow-up position. We are looking for someone who takes ownership, thinks logically, solves problems and ensures that assigned tasks reach completion without constant supervision.

Key Responsibilities1. Business Operations and Task Management
  • Independently manage assigned tasks from initiation to completion.
  • Maintain a central tracker of pending tasks, deadlines, responsible persons, follow-ups and closures.
  • Coordinate with sales, production, dispatch, accounts, suppliers, designers and other external contacts.
  • Identify delays, follow up proactively and escalate important issues with possible solutions.
  • Prepare regular updates for management on completed work, pending actions and potential bottlenecks.
2. Customer and Distributor Coordination
  • Handle customer enquiries regarding product availability, pricing, product information and distributor contacts.
  • Coordinate with the sales team and distributors to provide accurate information.
  • Maintain records of enquiries, customer complaints, resolutions and follow-up commitments.
  • Collect monthly primary and secondary sales data from distributors and prepare consolidated reports.
  • Analyse sales data by distributor, customer and product to support management decisions.
3. Packaging, Labelling and Documentation
  • Coordinate with designers and printing vendors for product packaging, artwork, mono boxes, labels and stickers.
  • Collect and organise approved ingredients, nutritional information, product specifications and other required labelling details.
  • Coordinate packaging reviews and maintain proper records of artwork versions, approvals and revisions.
  • Prepare product and master-carton stickers using production plans and packing sheets.
  • Check documents and packaging information for completeness and accuracy, and flag discrepancies before printing or dispatch.
  • Follow established compliance approval procedures; do not independently approve unverified regulatory information.
4. Records and Reporting
  • Maintain organised digital records for customers, distributors, sales reports, complaints, packaging files, product information and ongoing projects.
  • Establish clear file-naming, version-control and record-keeping practices.
  • Ensure recurring reports and submissions are completed within deadlines.
  • Maintain reliable records so that important business information is accessible without depending on individual memory or scattered messages.
5. Process Improvement
  • Identify repetitive tasks, communication gaps, missing records and avoidable delays.
  • Recommend practical improvements using Excel, standardised formats, checklists and trackers.
  • Help document standard operating procedures for recurring activities.
  • Take initiative to improve coordination, reporting accuracy and overall operational efficiency.
Required Skills and Qualifications
  • Graduate in any discipline.
  • 1–2 years of experience in business operations, sales coordination, administration, MIS, customer operations or a similar role.
  • Good working knowledge of Microsoft Excel, Word, email and digital record management.
  • Strong organisational skills and attention to detail.
  • Clear written and verbal communication skills in English, Hindi and Gujarati as required for the role.
  • Ability to prioritise multiple tasks, meet deadlines and follow through independently.
  • Practical problem-solving skills and the confidence to make routine decisions within defined authority.
  • Willingness to learn the company's products, systems and packaging compliance requirements.

Experience in FMCG, food manufacturing, distribution, packaging or a small/medium-sized business will be an advantage.

What We Expect From You
  • Take responsibility for outcomes, not just assigned activities.
  • Follow up without waiting for reminders.
  • Maintain accurate and updated records.
  • Identify problems early and communicate them with possible solutions.
  • Ask for clarification when necessary, but independently handle routine work.
  • Suggest improvements rather than accepting inefficient processes.
  • Maintain confidentiality and handle company information responsibly.
What We Offer
  • An opportunity to work closely with management and understand multiple business functions.
  • Meaningful responsibility and scope to improve business processes.
  • A role in which initiative, reliability and performance are valued.
  • Salary of 23,000–25,000 per month, based on demonstrated capability and experience.
Selection Process

Shortlisted candidates will undergo a structured interview and a practical assessment involving Excel/data organisation, task prioritisation, problem-solving and process improvement.

How to Apply: Send your résumé along with a brief description of a process you have independently managed or improved at your previous workplace.

Please include your current salary, expected salary, notice period and availability to join.
