Job Purpose
The Business Operations Associate works with clients and vendors (notaries) of The Closing Exchange (TCX) to facilitate order processing, scheduling, order completion including quality and follow-through, and resolution as needed to ensure successful completion of the signing experience. Additionally, the associate may be utilized to assist with vendor support and the management of TCX's vendor portfolio.
Responsibilities
- Facilitates order placement and scheduling as needed, cancellations, and changes to orders.
- Enters/updates data from emailed orders into The Closing Exchange production application.
- Ensures client is informed, including to confirm receipt of orders, inquiries, and escalations, clarify special order requests and instructions.
- Initial point of contact for incoming emails and chats from clients and signing agents. Routes received inquiries to appropriate person or department when needed.
- Facilitates the assignment of vendors to clients for orders received.
- Ensures assigned vendors meet or exceed company and client requirements.
- Works to ensure client service level agreements (SLA's) are met.
- Maintains knowledge of all other service delivery functions.
- Other duties and responsibilities to support operational processes as defined.
Knowledge And Experience
- Minimum 1 years professional work experience.
- Experience in dispatch, vendor management, or customer service.
- Experience in U.S. mortgage, title, or collections preferred.
- Excellent English language written/verbal communication skills.
- Demonstrated ability to work with multiple customers and accounts simultaneously.
- Detail oriented, proactive, and organized.
- Must display professionalism in communication and interaction with team members and clients.
- Ability to interact and work with others as part of a team and remove barriers to the team's success.
