HOW WE WORK
We are a global team operating across India and the US, and this role reflects that reality. You won't be expected to be available around the clock, but you should be comfortable with a schedule that flexes across time zones. Some collaboration will happen in the early morning India time, some in the evening. We work together to find a rhythm that serves everyone, and we communicate clearly when expectations shift.
Our workflow is project-based and seasonal. When a training program is active, things move fast - preparation, coordination, and delivery all happen in close sequence. During quieter periods, the focus shifts to business development. No two months look exactly alike, and this is not a traditional 8-to-5 position. RESPONSIBILITIES
Program Delivery Operations (60%)
Client Operations: Serve as CoachVikram's primary operations contact for client organizations from program kickoff through close-out, working directly with the client's internal operations counterpart to execute the full program lifecycle. This includes:
- Issuing client contracts, tracking execution, and following up to ensure timely sign-off
- Coordinating training venue logistics, liaising with the client organization to secure, configure, and confirm the training space meets CoachVikram's specifications
- Administering the EPI® Assessment process: releasing the assessment to participants, tracking completion, and escalating any technical issues to the assessment director
- Managing the full lifecycle of training materials: assessing inventory needs, placing and expediting vendor orders, verifying receipt, and coordinating courier delivery to ensure everything is on-site and ready for training day
- Processing, verifying, and reconciling invoices; managing program close-out including final documentation and client communications
Internal Operations: Keep CoachVikram's executive team informed and aligned throughout the full client intake and program delivery pipeline. This includes:
- Managing all active programs in Monday.com (project management system), including scheduling, progress tracking, milestone reporting, and leadership updates
- Serving as the central hub for program communications: managing agendas, email, scheduling, and related logistics to ensure accurate and timely information flow to senior leadership
- Maintaining organized project directories and electronic file systems
- Maintaining, improving, and enforcing existing SOPs and workflows; proactively identifying gaps and proposing improvements
- Managing financial records and expense tracking: logging and reconciling invoices and receipts, submitting expenses, and maintaining organized financial documentation across all programs and operational activities
- Coordinating and managing relationships with external vendors, including print vendors, designers, app and EPI platform developers, and other asset development partners
Client Prospecting (30%)
- Researching and identifying prospective clients, including target organizations and key decision-makers, to build and maintain a qualified pipeline in support of the executive team's business development efforts
- Preparing and sending approach notes and service proposals to prospective clients using Canva, incorporating scope of work and tailored service recommendations based on briefings from program managers
- Owning the full proposal follow-up cycle, tracking the status of all outstanding proposals, ensuring follow-ups are flagged, actioned, and communicated back to the relevant program manager
- Supporting post-discovery call follow-up, coordinating next steps, preparing relevant materials, and ensuring a seamless handoff into the client onboarding process
Content Strategy Support (10%)
- Serving as the operational partner to the executive team member leading content strategy, supporting the implementation and tracking of CoachVikram's broader content initiatives
- Project managing the content calendar across platforms, ensuring alignment with strategic priorities and timely execution across all contributors
- Collecting, compiling, and analyzing social media analytics (Instagram, LinkedIn, YouTube) on a regular cadence, surfacing performance insights to guide leadership's content decisions
- Conducting ongoing research on competitor content and industry trends, synthesizing findings into brief summaries to inform leadership's content planning
- Maintaining systems, trackers, and documentation that ensure the content pipeline runs smoothly, consistently, and on schedule
QUALIFICATIONS
We are not looking for someone who waits for direction. The ideal candidate shows up as a strategic partner, identifying gaps before they become problems, presenting project plans with confidence, keeping stakeholders informed, and bringing their own thinking to how we can improve our programs and processes. You are a strong project manager at your core, someone who can hold multiple complex workstreams simultaneously and keep a high-performing team aligned and on track.
Required:
- 3–5 years of experience in operations, program coordination, executive support, or business development support — preferably in professional services, consulting, coaching, or L&D
- Demonstrated strength in project management — proven ability to independently manage multiple complex, time-sensitive projects simultaneously
- Experience with a project management platform (Monday.com strongly preferred; comparable tools such as Asana or ClickUp considered)
- Comfort operating in a project-based, cross-timezone, remote work environment
- Ability to manage multiple priorities and shifting deadlines with composure and reliability
- Strong written and verbal communication skills, with the ability to represent the brand professionally in all client-facing correspondence
- Comfort working with AI tools, like ChatGPT and/or Claude
- Experience with CRM systems (HubSpot preferred) for tracking proposals, client engagement, and pipeline activity
- Proficiency in Canva and/or CorelDRAW for updating and formatting branded materials
- Proficiency using Google Suites
- Meticulous attention to detail in contract management, invoicing, and documentation
Preferred
- Experience supporting executive-level stakeholders in a small or scaling organization
- Familiarity with social media analytics and content calendar management
- Exposure to leadership development, coaching, or training industries
- Background coordinating logistics for in-person or hybrid training or event programs
- Demonstrated ability to learn new technologies
GROWTH AND DEVELOPMENT
This role is intentionally designed as a launchpad. We are looking for someone who has aspirations beyond this position, someone who sees themselves growing into a project management or operations leadership role at a consulting firm, a multinational organization, or a company serving global markets. You will work directly alongside experienced executive leaders, manage real client relationships, and develop your ability to operate within the rhythms and expectations of the American-Indian professional market, including enterprise client communication standards, consulting-style program delivery, and cross-cultural stakeholder management.

- Compensation: INR. 50,000/ per month
- This role includes a performance incentive: a flat bonus is awarded for each prospective client identified by you that signs a contract with CoachVikram & Company. Bonus terms and eligibility criteria will be outlined in the offer letter.
