We are seeking a proactive, detail-oriented Stakeholder Relations & Executive Operations Associate to support senior leadership in managing vendor, partner, and manufacturer relationships. This role requires exceptional communication skills, strong organisational ability, and a high level of professionalism. You will act as the connecting bridge between internal teams, external stakeholders, and leadershipensuring smooth coordination, timely follow-ups, and well-maintained records.
Key Responsibilities
- Stakeholder & Vendor Management.
- Maintain warm, professional relationships with vendors, manufacturers, and partners.
- Track communication, follow-ups, quotation timelines, and negotiation stages.
- Schedule calls, coordinate meetings, and ensure timely next steps.
- Prepare stakeholder summaries and status updates for leadership.
- Executive Support & Coordination.
- Assist leadership with day-to-day operational coordination.
- Ensure timely follow-up on tasks, commitments, and ongoing conversations.
- Maintain structured databases and dashboards for all ongoing outreach.
- Coordinate inter-department communication when needed.
- Draft professional emails, WhatsApp messages, and stakeholder communication.
- Ensure tone consistency aligned with the brand and leadership style.
- Prepare concise briefing notes and call summaries.
- Record Keeping & Data Management
- Maintain Excel trackers for manufacturers and partners, including quotes, timelines, and statuses.
- Create reports summarising progress, pending actions, and follow-ups.
- Assist with research and vendor sourcing when required.
- Support execution of small operational tasks related to procurement, documentation, or coordination.
