Role Overview
The Billing Manager is responsible for managing project billing, client invoicing, contract compliance, and revenue tracking across Zyeta's design and build projects.
This role plays a critical part in ensuring accurate billing, timely invoicing, and proper financial documentation aligned with project milestones and contractual agreements.
The Billing Manager works closely with project managers, procurement teams, finance, and clients to ensure billing cycles are structured, transparent, and aligned with project progress.
You are someone who brings financial discipline, contractual clarity, and operational precision to project billing while ensuring Zyeta's revenue realization processes run smoothly.
Key Responsibilities
Project Billing & Invoicing
Manage the end-to-end billing process for workplace design and build projects.
Prepare and process client invoices aligned with project milestones and contractual terms.
Ensure invoices are accurate, timely, and supported by proper documentation.
Track billing schedules and ensure timely submission to clients.
Coordinate with project teams to validate project progress before raising invoices.
Contract Management
Review project contracts to understand billing structures, payment milestones, and commercial terms.
Ensure billing processes comply with contractual agreements and client requirements.
Monitor contract variations, scope changes, and variation orders impacting billing.
Maintain proper records of contract documents and amendments.
Revenue Tracking & Financial Coordination
Monitor project revenue realization against project milestones.
Track pending invoices, client payments, and outstanding receivables.
Coordinate with finance teams to ensure accurate revenue recognition.
Support financial forecasting by providing billing and revenue insights.
Documentation & Compliance
Maintain complete documentation related to project billing, invoices, and approvals.
Ensure compliance with internal financial policies and client billing procedures.
Maintain records of BOQs, commercial agreements, and billing approvals.
Support audit processes by providing required billing documentation.
Stakeholder Coordination
Work closely with Project Managers, Procurement teams, and Finance teams to ensure billing aligns with project progress.
Coordinate with clients and consultants regarding billing clarifications or documentation requirements.
Ensure transparent communication regarding invoice status, approvals, and payment timelines.
Process Improvement
Identify opportunities to improve billing efficiency, accuracy, and reporting processes.
Implement structured tracking systems for billing cycles and receivables.
Support leadership with dashboards and reports on project billing performance.

Qualifications & Experience
610 years of experience in project billing, contracts, or commercial management within construction, interiors, or real estate industries.
Strong understanding of contractual billing structures and project milestone invoicing.
Experience managing client invoicing, revenue tracking, and billing documentation.
Familiarity with BOQs, project budgets, and commercial documentation.
Strong analytical, documentation, and coordination skills.
Bachelor's degree in Commerce, Finance, Engineering, or related field preferred.
