About the Role
We are seeking a highly organized, proactive, and detail-oriented Bilingual Virtual Assistant who is fluent in English and Spanish. The ideal candidate will provide administrative, communication, and operational support to ensure smooth day-to-day business functioning. You will work closely with leadership, clients, and internal teams to manage tasks, streamline workflows, and enhance productivity.
Key Responsibilities
- Provide administrative support including scheduling, calendar management, email handling, and data entry.
- Communicate professionally with clients, partners, and vendors in both English and Spanish (written and verbal).
- Assist with customer inquiries, follow-ups, and support tasks through phone, email, and chat.
- Prepare and translate documents, presentations, reports, and internal communication.
- Manage CRM updates, maintain accurate records, and organize digital files.
- Coordinate meetings, prepare agendas, and document minutes.
- Handle travel arrangements, bookings, and event coordination as needed.
- Assist with basic social media posting, content updates, and research-driven tasks.
- Support leadership with ad-hoc tasks, administrative projects, and operational activities.
Requirements
- Proven experience as a Executive Assistant or Administrative Assistant (minimum 12 years).
- Fluency in both English and Spanish (reading, writing & speaking).
- Strong communication and customer service skills.
- Excellent organizational skills with the ability to multitask and prioritize.
- Proficient in MS Office, Google Workspace, CRM systems, and online communication tools (Zoom, Slack, Teams).
- Ability to work independently, meet deadlines, and maintain confidentiality.
- Stable internet connection, professional work environment, and availability during US business hours.
Preferred Qualifications
- Experience working with US-based clients or teams.
- Knowledge of basic bookkeeping, invoicing, or project management tools (Asana, Trello, ClickUp).
- Social media management experience (plus but not mandatory).
- Previous bilingual customer support experience.
