Job Description

1. JOB PURPOSE

The Bid Coordinator supports the development of bids and proposals by assisting in the coordination of input from various departments and helping to maintain a structured bid process. Working under the guidance of the Bid Manager, the Bid Coordinator contributes to managing opportunities from qualification through to contract submission by supporting solution development, value proposition articulation, and documentation of strategy and commercial considerations.

2. JOB ACCOUNTABILITIES LINKED TO OBJECTIVES

Bid Coordination & Submission

  • Support and coordinate the production of Full Proposals, PQQs, ITTs, EOIs, and fee proposals from initiation through to submission
  • Liaise with Bid Managers, Team Lead and Technical leads to gather project content, CVs, and capability statements
  • Proofread, format, and quality-check all bid documents prior to submission

Content Development

  • Write and edit compelling bid narratives, project descriptions, and covering statements tailored to each client brief
  • Maintain and continuously improve a library of bid content including project sheets, team CVs, standard responses, and imagery
  • Work toward producing visually engaging InDesign layouts that reflect DSA brand identity

Research and Market Intelligence

  • Monitor procurement portals and framework opportunities relevant to DSA sectors
  • Support preparation of go/no-go assessments

Post-Submission & Continuous Improvement

  • Support teams with presentation materials and rehearsal for post-tender presentation
  • Capture and circulate post-tender clarifications from the client and help Bid Mangers with the PTC submissions

3. QUALIFICATION / EXPERIENCE / REQUIREMENTS

  • Minimum of 3-5 years experience in Bid Management
  • Excellent written communication skills, with the ability to translate technical content into clear, persuasive narratives
  • Strong project management and organisational skills; able to manage multiple concurrent bids under tight deadlines
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel) and Adobe InDesign
  • Meticulous attention to detail and commitment to producing high-quality outputs
  • A collaborative, proactive attitude with the confidence to engage stakeholders at all levels
  • Middle East project experience is preferred
