About the Role
We are seeking a detail-oriented and proactive Automation Operations & Quality Control Manager to oversee the day-to-day management, monitoring, and quality assurance of all business automations. The role involves ensuring that automations are functioning accurately, subscriptions and credits remain active, workflows are regularly audited, and any issues are identified and resolved before they impact business operations.
Key Responsibilities
Automation Management
- Monitor and manage all automation workflows across the organization.
- Ensure all automations are functioning as intended and aligned with business requirements.
- Maintain documentation of automation processes, workflows, and dependencies.
- Coordinate with internal teams and vendors to implement new automations and updates.
- Identify opportunities to improve efficiency through automation enhancements.
Quality Control and auditing
- Conduct regular quality checks on all active automations.
- Test workflows after updates, changes, or integrations to ensure accuracy.
- Track automation failures, errors, and exceptions and ensure timely resolution.
- Maintain audit logs and reports for automation performance.
- Ensure data integrity and accuracy across all automated processes.
Subscription , Credits and Payment Management
- Monitor validity and renewal dates for all automation tools, software, APIs, and subscriptions.
- Track available task credits, automation limits, usage quotas, and account balances.
- Ensure timely recharges, renewals, and payments to prevent workflow disruptions.
- Coordinate with finance and management teams regarding upcoming renewals and budgets.
- Maintain records of all software licenses, subscriptions, and payment schedules.
Performance Monitoring and Reporting
- Create and maintain dashboards to monitor automation performance.
- Track key metrics such as workflow success rates, error rates, task utilization, and system uptime.
- Generate weekly and monthly reports on automation health and operational efficiency.
- Escalate critical issues and provide recommendations for improvements.
Cross Functional Coordination
- Work closely with Operations, Marketing, Sales, Customer Success, and Technology teams.
- Ensure automation requirements are properly understood and implemented.
- Act as the primary point of contact for automation-related issues and troubleshooting.
