Job Description

Job Title: Attendance Records Officer

Department: Registry/Attendance team

Reports to: Attendance and Engagement Manager

Location: Remote

Contract Type: Full-time

Job Purpose:

Attendance Record Officer is responsible for overseeing and coordinating student attendance tracking and academic engagement data across the institution. This role supports student retention and academic success by ensuring accurate records, identifying patterns of concern, and working collaboratively with academic, monitoring and support departments to intervene effectively.

Key Responsibilities:

  • Maintain and monitor accurate student records in compliance with institutional policies

and data protection regulations. Ensure accurate and timely collection of student

attendance and engagement data, providing reports for Weekly monitoring meetings

(SEMS)

  • Record and update student attendance in the system with accuracy and timeliness

(Seats and Teams)

  • Liaise with academic staff to ensure accurate attendance records are maintained
  • Monitoring and reporting punctuality standards, ensuring classes are starting on time, in

campus and online. Adding and maintaining cover lecturers on Teams and Seats.

  • Timetable and registers entry, including Teams for online lectures
  • Sending timetables to students
  • Processing student absence forms in accordance with institutional policies and

procedures

  • Sending the daily attendance report to the organization
  • Process and action student group transfer on Teams and registers, including on Seats
  • Removing withdrawn/suspended students from Teams and registers

Person Specification:

  • Experience in student records, attendance monitoring, or related administrative roles

within education.

  • Strong analytical and data interpretation skills
  • Proficient in student information systems (e.g.,UNIT E, SEATS) and Microsoft Excel
  • Attention to detail and a commitment to data accuracy
  • Experience in a higher education setting
  • Knowledge of UKVI compliance
  • Familiarity with student engagement frameworks (e.g., RESMA or similar)
