Position Summary
We are seeking an accomplished Associate Vice President (AVP) – Administration Management to lead and oversee end-to-end administrative operations, facility management, infrastructure support, statutory coordination, construction and project execution, vendor governance, security management, and business continuity initiatives across multiple locations.
The role requires a strategic and execution-oriented professional with strong experience in managing large-scale facilities, critical utilities, regulatory liaison, and operational excellence while ensuring uninterrupted business operations.
Key Responsibilities
1. Administration & Facility Management
- Lead overall administration and facility operations across corporate offices, delivery centres, data centre environments, and business units.
- Develop and implement administration policies, SOPs, governance mechanisms, and service standards.
- Ensure workplace readiness, operational efficiency, employee experience, and cost optimization.
- Drive preventive and corrective maintenance programs.
2. Infrastructure & Utility Management
- Manage critical infrastructure including:
- Electrical systems and distribution networks
- DG (Diesel Generator) operations and maintenance
- UPS systems and power backup infrastructure
- HVAC systems and utility management
- CCTV surveillance systems
- Building Management Systems (BMS)
- Fire safety and emergency response systems
- Monitor uptime, reliability, and compliance for all critical assets.
3. Construction & Project Management
- Lead office expansion, fit-out, renovation, and infrastructure development projects.
- Oversee planning, budgeting, execution, contractor coordination, quality assurance, and handover.
- Ensure timely completion of projects within budget and quality standards.
- Manage CAPEX and infrastructure investments.
4. Vendor & Contract Management
- Drive end-to-end vendor lifecycle management including sourcing, evaluation, negotiations, on-boarding, SLA governance, and performance reviews.
- Manage contracts for facility operations, AMC services, security, housekeeping, electrical maintenance, civil works, and infrastructure projects.
- Identify cost optimization opportunities while maintaining service quality.
5. Government Liaison & Regulatory Coordination
- Establish and maintain strong relationships with government authorities and regulatory bodies.
- Handle coordination and approvals with:
- Police Department
- Fire Department
- Labour Department
- Municipal Authorities
- Electricity Boards
- Local Administration Authorities
- Environmental and statutory agencies
- Ensure smooth execution of inspections, licenses, certifications, and renewals.
6. Compliance, Security & Audits
- Lead infrastructure and facility audits to ensure statutory and operational compliance.
- Conduct audits of electrical devices, DG systems, UPS, CCTV infrastructure, safety systems, and operational assets.
- Drive corrective and preventive action programs.
- Ensure adherence to EHS, security, and risk management frameworks.
7. Business Continuity & Risk Management
- Develop business continuity plans and disaster recovery readiness for administrative operations.
- Ensure emergency preparedness and incident management protocols.
- Drive workplace health, safety, and resilience initiatives.
8. Leadership & Stakeholder Management
- Lead cross-functional administration, facility, engineering, and security teams.
- Partner with leadership, procurement, finance, HR, legal, and operations teams.
- Build scalable operational frameworks and performance dashboards.
Required Qualifications
- Graduation or MBA / PGDM preferred.
- Certifications in Facility Management, Project Management, Safety, or Administration preferred.
Experience Required
- 12+ years of progressive experience in Administration, Facility Management, Infrastructure Operations, or Corporate Services.
- Proven leadership experience managing large facilities and multi-site operations.
- Strong exposure to construction management and critical infrastructure operations.
- Experience working with government agencies and regulatory authorities.
