Role Overview:
Terracegate is seeking a well-rounded professional to oversee client relationships and global operations for one of our Family Office clients. The role requires a mix of client engagement, project management, operational oversight, and cross-border coordination. This individual will act as a strategic partner to the leadership team, driving execution across key business, investment, and operational initiatives.
You will collaborate closely with senior leadership, legal and deal teams, and investors across multiple geographies to ensure smooth delivery, compliance, and communication. This is a client-facing, execution-driven role that blends strategic thinking with hands-on operational management.
This is a Tech-first hire focused on Private Equity real estate (vendor capital, private equity). We need someone who is comfortable building systems rather than just running tasks and project managing. We are building out our IT infrastructure to let us scale, so the candidate should already be at home in our tech stack: Notion, Microsoft Power Automate, and Claude AI (advanced). Some Python would be a plus.
Key Responsibilities:
- Collaborate directly with the family founder on capital raising and investor relations strategies.
- Coordinate and manage remote teams across multiple jurisdictions and time zones.
- Serve as the primary interface for legal and deal teams, ensuring seamless collaboration across geographies.
- Oversee deal onboarding processes, manage SPV operations, and maintain investor relationships.
- Ensure compliance with tax regulations, legal documentation, and bookkeeping standards.
- Review and provide insights on legal and investment documents.
- Lead the adoption of advanced technology, including AI, cloud-based CRM systems, project management tools, API integrations, and business dashboards.
- Innovate and implement systems to enhance efficiency and scalability.
- Develop and maintain investor presentations, reports, and deal-related documents.
- Execute all capital call processes end-to-end, preparation, notice drafting, cap table maintenance, commitment and drawdown tracking, and board resolution drafting, with zero errors across all entities.
- Maintain live compliance calendars across all SPV entities and five jurisdictions, ensuring zero missed regulatory deadlines through proactive advisor coordination and pre-emptive escalation.
- Own all investor communications independently, capital calls, exit timeline queries, post-call updates, and quarterly investor reports, with full accuracy, validated against cap tables and drawdown records before every dispatch.
- Manage concurrent relationships with external advisory firms across jurisdictions, legal, tax, banking, and corporate secretarial, with structured briefs, deadline tracking, and zero coordination failures.
- Build, own, and evolve the firm's Notion operating system, Claude AI agent framework, and SharePoint architecture as the integrated operational backbone across all entities, including SOPs, compliance dashboards, and investor data.
Qualifications & Experience:
- Experience: Minimum 4-7 years in project management with a global management consulting firm or a similar environment.
- Industry Knowledge: Strong understanding of private equity operations, financial structures, and real estate investment principles.
- Technical Expertise: Proficiency in tools such as MS Office, project management platforms, CRM systems, and automation software (including AI integration).
- Must be proficient in our core tech stack: Notion, Microsoft Power Automate, and Claude AI (advanced). Python skills would be a plus. Candidate should be comfortable building and automating systems, not just using them.
- Legal Acumen: Working knowledge of English law and legal documentation related to private equity and real estate investments.
- Demonstrated experience managing multi-entity, multi-jurisdiction SPV or fund compliance, including live compliance calendars, regulatory filings, and advisor coordination, with a zero-breach track record.
- Proven track record of independently owning investor relations functions: capital calls, cap table maintenance, commitment tracking, drawdown records, and board resolutions, managed with no errors.
- Experience building operational infrastructure from scratch in a lean PE or family office environment, designing and deploying systems rather than inheriting and maintaining them. Background in finance, fund administration, or investment operations essential.
- Education: MBA or a Bachelors degree in Business, Finance, or a related field.
- Communication: Exceptional business English skills, both written and verbal, with demonstrated cross-cultural communication abilities.
