Hemang specialises in visa routes for founders and growing businesses, including self-sponsorship, the Innovator Founder route, the Expansion Worker route, and sponsor licences

Job Overview:

We are seeking a detail-oriented and organized Assistant Visa Documentation Executive to join our team. In this role, you will be responsible for guiding clients through the entire visa application lifecycle, ensuring all documentation strictly adheres to UK immigration requirements and embassy guidelines. You will get instructions from senior case worker and assist them in visa application and documentation.

Key Responsibilities

1. Accurately follow instructions from the senior case worker in full before beginning work on each file and seek clarification before proceeding if any instruction is ambiguous

2. Prepare document checklists for each case based on the visa category and instructions provided to confirm that all required documents have been received from the client

3. Reduce and compress file sizes (PDF/JPEG) to meet home office submission requirements without compromising document legibility or quality

4. Rename all files strictly according to the firm's stated naming convention to ensure consistency across the case file

5. Organize and arrange documents in the sequence specified by the senior case worker or according to the standard case bundle format

6. Maintain version control on documents by ensuring that only the latest, correctly labeled version of each file is retained in the case folder

7. Cross-check prepared bundles against the checklist before handing them back to the senior case worker and flag any missing, illegible, or inconsistent documents

8. Update internal case management systems and trackers with document status as instructed

9. Maintain strict confidentiality of client personal, financial, and immigration data at all times in line with the firm's data protection obligations, including the India DPDP Act 2023 and UK GDPR, where applicable

10. Escalate any discrepancy, missing document, or unclear instruction to the senior case worker promptly rather than making an independent decision

11. Perform other documentation-related administrative tasks as assigned by the senior case worker or management

Qualifications & Requirements

  • Education: Bachelor's degree in Travel & Tourism, Business Administration, Humanities, or a related field.
  • Experience: 1–3 years of proven experience as a Visa Executive Documentation Specialist, or Operations Executive within a travel agency, immigration consulting firm, or visa processing service
  • Language Skills: Excellent verbal and written English communication skills.
  • Technical Skills: Proficiency in MS Office (Excel, Word), Google Workspace, and CRM software.
