Role Overview

The Assistant Project Manager AV plays a critical role in ensuring seamless execution of Audio-Visual (AV) and technology integration across workplace projects. This role requires a detail-oriented, proactive, and execution-focused professional who can coordinate between design, vendors, and site teams to deliver high-quality AV solutions on time and within budget.

You will support project planning, monitor execution, and ensure AV systems are integrated smoothly with overall project delivery. This role demands hands-on involvement, strong coordination skills, and the ability to foresee and mitigate risks in a fast-paced environment.

You are someone who understands both technical and on-site realities and ensures AV deliverables are executed with precision and reliability.

Key Responsibilities

AV Project Coordination & Execution

Support the planning and execution of AV and technology integration across multiple projects.

Coordinate with design teams to understand AV requirements and ensure accurate implementation on-site.

Track project timelines and ensure AV deliverables align with overall project schedules.

Assist in monitoring installation, testing, and commissioning of AV systems.

Ensure adherence to quality standards, specifications, and client requirements.

Planning, Scheduling & Tracking

Assist in developing detailed AV execution plans in coordination with Project Managers and AV consultants.

Track progress against schedules and highlight potential delays or risks proactively.

Maintain and update project trackers, reports, and documentation related to AV scope.

Support the use of project management tools (MS Project, Zoho Projects & Sprints) for tracking and reporting.

Ensure proper sequencing of AV activities in alignment with civil, MEP, and design execution.

Vendor & Stakeholder Coordination

Coordinate with AV vendors, contractors, and consultants to ensure timely delivery and installation.

Track vendor performance, material delivery, and installation milestones.

Ensure clear communication between internal teams and external partners.

Participate in review meetings with clients and stakeholders to provide updates on AV progress.

Support vendor onboarding, documentation, and compliance processes.

Quality, Testing & Commissioning

Assist in ensuring all AV installations meet design specifications and quality benchmarks.

Support testing, commissioning, and handover processes for AV systems.

Coordinate snag resolution and ensure closure before project handover.

Maintain documentation of system configurations, drawings, and manuals.

Change Management & Documentation

Track design changes and ensure proper implementation of revised AV requirements.

Maintain updated drawings, BOQs, and documentation to avoid discrepancies.

Ensure all changes are documented, communicated, and approved before execution.

Support preparation of reports and updates for stakeholders on AV scope progress.

Qualifications & Experience

36 years of experience in AV project coordination, technology integration, or related roles.

Basic to strong understanding of AV systems (VC systems, displays, acoustics, control systems, etc.).

Experience working in commercial interiors, workplace projects, or technology integration environments.

Familiarity with project management tools like MS Project, Zoho Projects, or similar.

Strong coordination, communication, and organizational skills.

Ability to manage multiple stakeholders and tasks simultaneously.
