Job Description

As Allied Health Assistant Manager, you will be responsible for overseeing and coordinating a portfolio of Allied Health projects with hospitals, government agencies and business partners to deliver strategic outcomes and benefits aligned with organisational priorities. The role will work with different stakeholders to ensure successful completion within the defined scope, direction, budget and support change across multiple workstreams.

Key Responsibilities:

1) Project Management

  • Collaborate with project leads on project set up, schedule, deliverables, key milestones and indicators.
  • Oversee program plans, timelines, budgets and resource allocation
  • Monitor project deadlines to ensure timely follow-up and completion.
  • Maintain project lists and provide status updates (including Gantt charts) at department and relevant meetings.
  • Support the analysis of project outcomes and business impact to inform project direction, strategic planning, and program improvement
  • Contribute to grant applications and funding proposals for research and program development initiatives.
  1. Communications and Dissemination
  • Support the development of presentation decks, reports, and outreach materials to promote project and research findings.
  • Coordinate engagement format for project partners and professional bodies for knowledge exchange.
  • Work with Corp Comms to publish projects and key results on internal platforms for branding and marketing.
  1. Administrative and Operational Support
  • Prepare meeting agendas and pre-readings at least 3 days before scheduled meetings.
  • Coordinate meeting invitations and manage minutes taking for project meetings with all stakeholders
  • Coordinate quarterly reporting of projects with project owners and stakeholders on key deliverables and outcomes, including assisting to extract data
  • Liaise with finance as necessary for projects with funding/grants.
  • Track and monitor funding expenses and claims
  • Any other duties as assisted by Head of Department

Key Deliverables:

  • Projects roadmap, timeline and integrated delivery plans
  • Stakeholder engagement and communications
  • Project tracking, evaluation and closure reports

Qualifications

  • Bachelor's degree in business administration, healthcare, social science or related field
  • Certificate in programme/project management will be preferred
  • At least 3 to 5 years experience in project management role
  • Excellent communication and stakeholder engagement skills
  • Detail-oriented and good organisation skills
  • Strong strategic and critical thinking, programme design and project management capabilities
  • Proficiency in presentation and computer skills (e.g. Google Suite applications. Project management tools)
  • Resourceful, adaptive and proactive
  • Professional and collaborative
  • Able to manage and lead change
