Role Overview :

IIT Bombay's Educational Outreach team is looking for a dynamic Assistant Program Manager to support the design and execution of high-impact educational programs, workshops, and outreach initiatives. The role involves managing programme registrations, participant coordination, application processes, institutional communication, and operational documentation to ensure smooth execution of outreach initiatives and academic programmes. The ideal candidate will bring strong organizational skills, a collaborative mindset, and a passion for education to help scale IIT Bombay's educational outreach mission.

Key Responsibilities

Program Coordination & Execution

  • Assist in the design and delivery of workshops, certification programs, and school outreach events.
  • Coordinate participant schedules, session logistics, and programme flow
  • Support on-ground programme management during programme execution
  • Ensure logistics, scheduling, communication, and materials are in place for each program.

Stakeholder Engagement

  • Liaise with internal IIT Bombay departments, faculty members, and external stakeholders (academic institutions, government bodies, corporate partners).
  • Maintain active communication with participants, mentors, and partners.

Operations & Reporting

  • Track project timelines, deliverables, and KPIs.
  • Maintain databases, generate reports, and ensure documentation and compliance.

Content & Communication Support

  • Assist in preparing outreach material, reports, presentations, newsletters, and updates.
  • Coordinate with design and media teams to ensure branding consistency.

Tech Platform Coordination

  • Collaborate with IT and platform vendors for managing LMS, registration portals, and feedback tools.
  • Troubleshoot tech-related issues during program rollout.

Participant Communication and Query Management

  • Conduct surveys, feedback analysis, and program impact assessments.
  • Recommend improvements based on participant and stakeholder input.
  • Respond to queries from students, schools, and programme participants
  • Manage participant communication before, during, and after programme execution
  • Coordinate confirmations, programme updates, and logistical instructions

Desired Experience/Skills :

  • Bachelor's/Master's degree in Engineering, Education, Management, Social Sciences, or related fields.
  • 2-4 years experience in program/project management (educational initiatives/educational outreach preferred).
  • Strong organizational and multitasking skills.
  • Experience handling participant databases and programme logistics
  • Familiarity with Google Workspace, MS Office, and LMS/project management tools
