Summary
The Assistant / Deputy Manager Procurement is responsible for supporting the procurement function of the University by executing procurement processes, coordinating with vendors, and ensuring timely availability of materials, equipment, and services required for university operations. The role involves assisting in sourcing activities, preparing purchase documentation, maintaining procurement records, and ensuring adherence to procurement policies, ethical standards, and budgetary guidelines. The position works closely with internal departments and vendors to ensure efficient procurement operations and timely delivery of goods and services required for infrastructure, academic, and administrative functions
Roles & Responsibilities
- Execute procurement processes in alignment with the University's procurement policies and guidelines.
- Identify potential vendors and coordinate with suppliers to obtain quotations through the Request for Quotation (RFQ) process.
- Prepare and process Purchase Orders (POs) and Work Orders (WOs) in accordance with approved procurement procedures.
- Coordinate with vendors to ensure timely delivery of materials, equipment and services as per agreed timelines.
- Maintain and update the procurement tracking system to monitor purchase requests, order status, delivery schedules and payment processes.
- Track and follow up with vendors to ensure adherence to delivery commitments and quality standards.
- Maintain proper documentation and records of procurement activities including quotations, purchase orders, contracts and vendor details.
- Support vendor coordination and maintain professional relationships with suppliers to ensure smooth procurement operations.
- Assist in monitoring price trends, vendor performance and procurement efficiency.
- Ensure compliance with University procurement policies, financial guidelines and ethical standards.
- Coordinate with internal departments to understand procurement requirements and facilitate timely purchasing support.
- Responsible for ensuring the all programs, activities and series comply with university, state and functional regulations.
- Responsible for developing and maintaining partnerships throughout the University and be the channel to connect with the vendors.
Skills Required
- Good understanding of procurement processes, vendor management, and purchasing procedures
- Working knowledge of RFQ processes, purchase documentation, and procurement tracking systems
- Good negotiation and communication skills
- Ability to manage multiple procurement requests and follow up on delivery schedules
- High level of integrity and adherence to ethical procurement practices
- Able to travel to meet with suppliers and work overtime as required
Qualification & Experience
- MBA with Engineering / Commerce background preferred. 68 years of relevant experience in procurement or supply chain management.
Reporting Relationship
- Reports to Senior Manager Procurement
