Job Description

  • The role encompasses soft services management including handling all administrative activities like maintenance of office equipment, Housekeeping, Healing Room, Mail Room, Key Room, Concierge Desk, and maintenance of office Horticulture & Pest control.
  • Monitoring and supervising Service Now workflows and operations.
  • Coordinate all logistical preparations for client conferences, meetings, and scheduled visits during assigned shifts.
  • Conducting routine site walk around to ensure high cleanliness standards, manage safety protocols and ensure regulatory compliance.
  • Assess overall service delivery performance of housekeeping vendors.
  • Facilitate coordination meetings with vendors to resolve service-related issues and vendor performance against established metrics.
  • Verify vendor staffing levels comply with contractual agreements.
  • Audit staff attendance records and conduct grooming inspections.
  • Ensure cafeteria tables remain clean, properly arranged, and well-maintained and ensure the functioning of all appliances.
  • Coordinate building maintenance activities with relevant stakeholders.
  • Oversee client's relations, addressing and resolving any issues or concerns promptly.
  • Organize training sessions for facility executives and vendor staff.
  • Process monthly invoices and validate ESI and PF payments for JLL sub vendor staff.
  • Handle invoice processing of Deloitte empaneled vendors for various services including stationery and couriers.
  • Collecting quarterly No Due Certificates from JLL vendor partners for Pan India including RE (Responsibility of Srinivas Badigam).
  • Daily monitoring of Airtel DTH connections and following up with the client and vendor partner for Annual subscription.
  • Prepare Monthly Management Reports (MMR) and Quarterly Business Reviews (QBR).
  • Submit daily, weekly, and monthly reports to the Block Lead.
  • Supervise daily event setup execution according to scheduled requirements.
  • Following up with the team to provide necessary support for Blitz arrangements on weekends.
  • Manage key inventory and maintain records in the key management system.
  • Responsible for sharing the required inputs for the preparation of OPEX budget.
  • Ensuring adherence to Professional medical incidents are addressed immediately and prepare reports.
  • Process documentation in the Gate Pass application for material movement approvals.
  • Upload vendor staff information to the Dbadge system for access card issuance.
  • Monitor daily ODC cleaning activities.
  • Maintain stores according to 6S standards.
  • Prepare monthly store requisitions for housekeeping chemicals and consumables.
  • Track housekeeping staff attendance rates and turnover.
  • Update weekly JLL attendance records in the WPI system.
  • Schedule and coordinate quarterly cleaning of IDF, MDF, and electrical rooms.
  • Oversee clock room and healing room operations.
  • Conduct daily ambulance readiness audits.
  • Manage scrap disposal processes.
  • Track and close SLA and photo audit observations, reporting to Block Lead.
  • Submit monthly stationery requirements for purchase order generation.
  • Maintaining Gym and Recreation facilities are maintained well and report any observations to RE.
  • Resolve ServiceNow and QR code tickets promptly.
  • Provide operational support for events including Family Day, Impact Day, and 10K run.
  • Coordinating with talent team to provide the required support for W2D arrangements on weekly basis.
  • Fulfill daily helper assignment requests as per the professionals requests.
  • Oversee pest control activities daily and ensure pest free area.
  • Coordinate with horticulture vendors for on-site landscaping maintenance.
  • Manage mail room operations.
  • Track daily consumption of housekeeping chemicals and consumables.
  • Support the Facility Manager with all soft services operations and reporting requirements.
  • Create weekly shift schedules for facility executives
  • Enforce rigorous hygiene protocols including cleaning, disinfection, and sanitization per established schedules.
  • Share all scheduled meetings and monthly scorecard reviews with vendor partners.
  • Participate in recruitment interviews for facility executives and housekeeping supervisor positions.
  • Liaise with security teams to facilitate smooth material movement in and out of the facility.
  • Perform regular inspections of reception, lobby areas, and restrooms to ensure quality standards.
  • Communicate all operational updates to Block Leads.
