Role Purpose

To manage the end-to-end HR Operations function, ensuring seamless payroll administration, statutory compliance, HRMS system administration, and governance of all HR processes. The role is pivotal in maintaining data accuracy, driving process automation, and ensuring consistent employee experience across the organization.

Key Responsibilities

1. Payroll Management

  • Own the end-to-end payroll process through HRMS (SuccessFactors integrated with GreytHR/SAPsystems).
  • Ensure accuracy, timeliness, and compliance with statutory and company policies.
  • Handle payroll-related compliances – PF, ESIC, PT, MLWF, Income Tax, Bonus, Gratuity, and others.
  • Validate pay inputs (attendance, incentives, arrears, deductions, reimbursements, etc.) prior to processing.
  • Conduct monthly payroll audits and coordinate with Finance for reconciliation and disbursement.

2. HRMS System Administration (SuccessFactors)

  • Act as the System Administrator for SuccessFactors, ensuring all configurations, updates, and process modifications are executed accurately.
  • Manage employee life cycle data on the HRMS – hiring, transfers, promotions, exits.
  • Partner with module leads (Recruitment, Onboarding, Performance, etc.) to streamline workflows and maintain master data integrity.
  • Generate periodic reports and analytics dashboards to support business and leadership reviews.
  • Lead system testing, change management, and coordination with external consultants for enhancements or issue resolution.

3. Statutory Compliance & HR Audits

  • Ensure compliance with all applicable labour laws and HR-related statutory obligations.
  • Prepare and file periodic returns – PF, ESIC, PT, MLWF, etc.
  • Liaise with government authorities, auditors, and labour consultants for inspections and compliance audits.
  • Maintain compliance documentation, licenses, and timely renewals under various labour legislations (CLRA, Gratuity, Bonus, Shops & Establishment, etc.).
  • Drive internal HR audits and process standardization initiatives.

4. Employee Benefits Administration

  • Responsible for accurate computation of leave encashment, and other benefit programs.
  • Ensure accurate maintenance of benefit data in HRMS.
  • Coordinate with external service providers for policy renewals, claims, and query resolution.
  • Monitor adherence to company policies and ensure statutory alignment in benefits administration.

5. Process Governance & MIS

  • Drive standardization of HR processes, documentation, and SOPs across all HR Operations areas.
  • Publish periodic HR dashboards and MIS reports (Headcount, Payroll, Attrition, Cost Analytics, etc.).
  • Ensure timely audit closures, data integrity, and process adherence across the HR function.
  • Continuously identify and implement process improvements to enhance efficiency and employee experience.

Key Skills & Competencies

  • Strong knowledge of HRMS systems (preferably SuccessFactors), SAP HR, or similar ERP platforms.
  • Hands-on experience in payroll management and statutory compliance.
  • Analytical mindset with strong attention to detail and accuracy.
  • Process orientation with ability to handle audits and system controls.
  • Excellent stakeholder management and communication skills.
  • Ability to manage confidential information with discretion.

Qualification & Experience

  • MBA / PGDM in HR or equivalent.
  • 8–10 years of experience in HR Operations, Payroll, and Compliance management.
  • Exposure to SuccessFactors or similar HRMS is a must.
  • Experience in managing HR audits and statutory interactions preferred.
