The Assistant Manager – Human Resources plays a critical operational role in ensuring accurate HR data management, seamless offer and payroll coordination, and a consistent, high-quality employee experience across Illinois Institute of Technology. Reporting directly to the Associate Director – HR, this role is responsible for managing data-intensive HR processes, ensuring regulatory alignment, and enabling smooth employee lifecycle transitions for academic and administrative staff.

Key Responsibilities

HR Data Management, HRMS & Compliance:

  • Own end-to-end accuracy, integrity, and timely updates of employee and faculty data within HRMS and payroll systems.
  • Maintain appointment, contract, compensation, leave, and employment status data in alignment with UGC norms, institutional governance standards, and internal audit requirements.
  • Ensure HR data management practices with all applicable compliance norms
  • Prepare and maintain audit-ready HR documentation, trackers, and reports.
  • Generate HR dashboards, reconciliations, and analytics using system data and Excel to support payroll, compliance, and leadership reviews.

Offer Release & Hiring Coordination:

  • Manage end-to-end offer release processes, including drafting, validation, release, acceptance tracking, and documentation for staff and academic hires.
  • Ensure offer letters, contracts, and appointment documentation are accurate, compliant, and aligned with institutional standards
  • Coordinate closely with hiring managers, academic departments, finance, payroll, and legal/compliance stakeholders to ensure timely closures.
  • Support structured pre-onboarding and onboarding processes to deliver a smooth and positive joiner experience.

Payroll & Compensation Coordination:

  • Coordinate monthly payroll inputs, validations, and approvals in partnership with payroll and finance teams.
  • Ensure accurate processing of salary changes, stipends, one-time payments, deductions, benefits updates, and leave-related payroll impacts.
  • Reconcile HRMS and payroll data, proactively identify discrepancies, and drive resolution prior to payroll finalization.
  • Support payroll audits, internal reviews, and statutory checks through validated data and supporting documentation.

HR Operations & Process Coordination:

  • Execute HR lifecycle transactions including confirmations, promotions, transfers, role changes, and separations with strong process discipline.
  • Maintain standardized process checklists, calendars, trackers, and documentation to ensure consistency and compliance.
  • Coordinate with internal teams and external vendors to ensure timely and accurate HR service delivery.

Employee Experience & Service Delivery:

  • Act as a key point of contact for employees and faculty on HR processes, payroll queries, documentation, and lifecycle support.
  • Deliver timely, accurate, and empathetic HR assistance to enhance trust and employee satisfaction.
  • Identify trends, recurring issues, and process gaps impacting employee experience and partner with the Associate Director – HR on continuous improvement initiatives.
  • Contribute to a service-oriented HR function focused on responsiveness, reliability, and operational excellence.

Required Qualifications & Experience:

  • Bachelor's or Master's degree in Human Resources, Business Administration, or a related field.
  • 4–8 years of hands-on HR operations experience with strong exposure to HR data management, HRMS usage, offer administration, and payroll coordination.
  • Experience working with UGC-aligned academic data and/or U.S.-based HR and payroll systems is preferred.
  • Prior experience in higher education, research institutions is desirable.

Key Skills & Competencies

  • Hands-on experience with HRMS platforms for data management, payroll inputs, and employee lifecycle transactions.
  • Strong proficiency in MS Office, with advanced working knowledge of MS Excel (pivot tables, VLOOKUP/XLOOKUP, data validation, reconciliations, dashboards, and reporting).
  • High attention to detail with an accuracy-first and compliance-driven mindset.
  • Strong coordination and stakeholder management capabilities across academic, administrative, finance, and payroll teams.
  • Structured, service-oriented approach with a strong focus on employee experience.
  • High standards of confidentiality, accountability, and professionalism.
