Job Description – Assistant Manager/Manager, Plant HR & Administration

Role Overview

The Manager – Plant HR & Administration will independently manage the complete HR, industrial relations, statutory compliance and administrative functions of the Marble Plant at Silvassa. The role involves supporting approximately 100 on-roll employees and 250 contractual employees while ensuring smooth plant operations, workforce discipline and legal compliance.

Key Responsibilities

Plant HR Operations

  • Manage the complete employee lifecycle, including onboarding, attendance, confirmation, transfers, disciplinary matters and separation.
  • Maintain employee records, personal files and HR documentation.
  • Ensure accurate attendance, shift schedules, leave and weekly-off records in the HRMS.
  • Address employee grievances and promote a positive work environment.
  • Implement corporate HR policies and processes at the plant.

Payroll And Benefits

  • Verify monthly attendance, overtime, leave, incentives and deductions.
  • Coordinate payroll inputs for on-roll and contractual employees.
  • Ensure timely processing of salaries, statutory deductions and employee benefits.
  • Coordinate PF, ESIC, gratuity, bonus, Mediclaim and other applicable benefits.

Industrial Relations and Employee Relations

  • Maintain healthy relations with employees, workmen and contract labour.
  • Handle grievances, misconduct, absenteeism, domestic enquiries and disciplinary action.
  • Support management in resolving labour-related issues.
  • Monitor workforce discipline, productivity and employee engagement.

Statutory Compliance

  • Ensure compliance with applicable labour laws, including the Factories Act, Contract Labour Act, Minimum Wages Act, Payment of Wages Act, Bonus Act, PF and ESIC regulations.
  • Maintain statutory registers, licences, returns and compliance records.
  • Coordinate with labour authorities, factory inspectors and other government departments.
  • Support internal, statutory and external compliance audits.
  • Ensure contractors comply with all labour-law and documentation requirements.

Contract Labour and Vendor Management

  • Manage approximately 250 contractual employees across plant operations.
  • Monitor contractor licences, wage payments, attendance, statutory contributions and records.
  • Coordinate workforce deployment based on production requirements.
  • Evaluate vendor performance and resolve workforce-related concerns.
  • Verify contractor invoices before processing.

Talent Acquisition and Workforce Planning

  • Manage recruitment for plant-level technical, operational and support positions.
  • Coordinate manpower planning with production and functional heads.
  • Organise walk-in interviews, local hiring drives and institute tie-ups.
  • Build a pipeline of ITI, Diploma and experienced plant candidates.
  • Monitor vacancies, offers, joining status and recruitment timelines.

Training and Employee Engagement

  • Conduct employee induction and plant orientation programmes.
  • Coordinate technical, safety, behavioural and compliance training.
  • Maintain training calendars, attendance and effectiveness records.
  • Organise employee engagement, welfare and recognition initiatives.

Plant Administration

  • Manage security, housekeeping, canteen, transportation, accommodation and general administration.
  • Supervise administrative vendors and service contracts.
  • Ensure proper upkeep of plant facilities, guest houses and employee amenities.
  • Coordinate employee travel, accommodation and transport arrangements.
  • Monitor administrative expenses and identify cost-saving opportunities.
  • Coordinate the allocation of laptops, mobile phones, uniforms, ID cards and other assets.

Safety and Welfare

  • Coordinate with the EHS team to ensure adherence to health and safety requirements.
  • Support safety committees, emergency-response initiatives and employee medical programmes.
  • Ensure availability and maintenance of statutory welfare facilities.
  • Promote safe work practices across on-roll and contractual employees.

MIS and Reporting

  • Prepare monthly HR dashboards covering manpower, attendance, overtime, absenteeism, attrition, recruitment and compliance.
  • Track HR and administrative budgets.
  • Submit timely reports to the Plant Head and Corporate HR.
  • Highlight workforce risks and recommend corrective measures.
