Job Summary

We are looking for a highly organized, detail-oriented, and proactive HR Operations Manager to support a broad range of HR operational activities across the organization. This role will be responsible for ensuring seamless execution of employee lifecycle processes, maintaining HR records, supporting recruitment and onboarding activities, coordinating payroll inputs, and ensuring compliance with organizational policies and documentation requirements.

The ideal candidate will possess strong HR operations experience, excellent communication skills, a technology-first mindset, and the ability to effectively collaborate with employees and stakeholders across multiple locations and functions.

Key ResponsibilitiesRecruitment & Talent Acquisition Support

  • Coordinate interview scheduling and candidate communications.
  • Support recruitment administration and offer documentation.
  • Maintain recruitment trackers and hiring reports.
  • Coordinate pre-joining and joining formalities.
  • Ensure a positive candidate experience throughout the hiring process.

Employee Onboarding & Lifecycle Management

  • Manage onboarding documentation and employee records.
  • Facilitate new hire induction and orientation activities.
  • Prepare employment-related letters and HR documents.
  • Support employee confirmation, transfer, promotion, and separation processes.
  • Maintain accurate employee information within HR systems and databases.

HR Operations & Documentation

  • Maintain employee files and HR records with a high degree of accuracy and confidentiality.
  • Generate and manage employment contracts, letters, and employee documentation.
  • Ensure all employee records are updated and compliant with organizational requirements.
  • Support HR audits and documentation reviews.
  • Maintain HR trackers, organizational records, and process documentation.
  • Support on follow up employee contacts and terminations, including documentation.

Attendance, Leave & Payroll Coordination

  • Administer employee attendance and leave records.
  • Prepare and validate payroll inputs on a monthly basis.
  • Coordinate with payroll teams and vendors to ensure timely and accurate processing.
  • Resolve employee queries related to attendance and payroll inputs.
  • Maintain payroll-related documentation and records.

Compliance & ISMS Documentation

  • Maintain HR-related compliance records and documentation.
  • Support Information Security Management System (ISMS) documentation and audit requirements.
  • Ensure employee policy acknowledgements and mandatory compliance records are maintained.
  • Assist with internal and external audit requirements.
  • Support adherence to company policies, processes, and compliance standards.

HR Reporting & Analytics

  • Maintain HR dashboards, reports, and employee data trackers.
  • Generate periodic reports relating to recruitment, onboarding, attendance, headcount, and attrition.
  • Ensure timely and accurate HR data reporting.
  • Assist in identifying opportunities for process improvement and operational efficiency.

Employee Support

  • Act as a point of contact for employee HR-related queries.
  • Provide administrative support across various HR initiatives and programs.
  • Coordinate with internal stakeholders to ensure smooth execution of HR processes.
  • Support employee engagement and communication initiatives as required.

Qualifications

Graduation with MBA / PGDM in Human Resources will be an advantage.

Experience

  • 8 10 years of experience in HR Operations, HR Administration, or HR Generalist roles.
  • Experience handling employee lifecycle management and HR documentation.
  • Exposure to recruitment coordination, onboarding, attendance management, and payroll inputs.
  • Experience supporting compliance, audits, ISO, or ISMS-related documentation will be an advantage.
  • Experience supporting geographically distributed teams, international stakeholders, or overseas business operations will be an advantage.

Skills & Competencies

  • Strong understanding of HR Operations, employee lifecycle management, and HR documentation.
  • Proficiency in Microsoft Office tools, particularly Excel, Word, and PowerPoint.
  • Experience working with HRMS platforms and digital collaboration tools.
  • Familiarity with AI-powered productivity tools such as ChatGPT, Microsoft Copilot, Gemini, Claude, or similar platforms.
  • Ability to quickly learn and adapt to new technologies, systems, and business processes.
  • Excellent written communication skills in business English.
  • Strong verbal communication and stakeholder management skills.
  • Quick learner with a natural ability to pick up multiple workstreams and responsibilities.
  • Excellent attention to detail and commitment to accuracy.
  • Strong time management and organizational skills.
  • Excellent multitasking capability with the ability to manage competing priorities.
  • Self-motivated with a proactive and hands-on approach.
  • Strong analytical and problem-solving abilities.
  • Ability to use initiative and work independently with minimal supervision.
  • Adaptable and flexible, with the potential to grow alongside changing business requirements.
  • High degree of integrity and ability to handle confidential information with discretion.
