The University of York Mumbai is opening soon in Powai Lake, Mumbai, India, connected to local industry and business, and dedicated to the extraordinary dynamism of Maharashtra. This will bring the York experience to this energetic city, at the heart of this dynamic and vibrant country. We will provide education programs to maximize employability and global mobility. Our research will be relevant to the needs of Mumbai and India. The University of York Mumbai is set to welcome students from the academic year 2026/27. It will initially offer undergraduate and postgraduate courses in computer science with AI and cybersecurity, business, economics, and creative industries.

About the Role:

This is an execution-critical role requiring high ownership, discipline in follow-through, and the ability to independently manage responsibilities end-to-end. The role holder is expected to proactively follow up with stakeholders and ensure timelines are met, flag risks early ,maintain accurate trackers, documentation, and system records, and take responsibility for quality, timelines, and completeness of deliverables.The operating mindset for this role is: own it, solve it, and close it. Performance will be evaluated on timeliness, accuracy, proactiveness, independence, and stakeholder feedback.

Key Responsibilities:

1. Hiring & Pre-boarding

  • Own hiring execution from interview coordination through joining.
  • Manage interview scheduling, panels, candidate communication, and feedback follow-ups.
  • Maintain live hiring and onboarding trackers.
  • Coordinate reference checks and complete selection documentation till offer release.
  • Drive joining checklist closure and ensure all documentation is completed before Day 1.
  • Manage international hiring coordination, documentation, and timelines.

2. Onboarding & Employee Experience

  • Own Day 1 onboarding and ensure first-week formalities are completed.
  • Coordinate with Admin/IT for ID cards, email access, and onboarding readiness.
  • Act as first point of contact for employee HR queries related to onboarding and experience.

3. HR Coordination During Employment

  • Manage employment documentation (contracts, renewals, extensions, letters).
  • Track confirmations and key employment milestones.
  • Maintain HR MIS and employee records for assigned scope.

4. Secondments & Exits

  • Own inbound and outbound secondments including documentation and timelines.
  • Manage exit checklist, clearances.

Systems Must Know:

  • Microsoft Office Outlook- Teams.
  • HRMS Darwinbox (hiring, onboarding workflows, employee documentation)

Qualifications & Experience:

  • 36 years HR experience.
  • Strong communication skills with senior stakeholders.
  • High ownership mindset with strong follow-up discipline.
  • Excellent documentation and tracker management.
