The Opportunity
The Assistant Manager – Operations will manage key operational processes including employee expense management, vendor and invoice coordination, procurement and PO workflows, system and portal administration, database management, and reporting.
The role involves close coordination with employees, vendors, Finance, internal teams, and leadership to ensure accurate, timely, and efficient operations.
Role Summary
The role is responsible for supporting day-to-day operations, ensuring smooth execution of expense, procurement, vendor, system, and reporting processes. The incumbent will also contribute to process improvements, SOP development, and the use of AI and technology to enhance operational efficiency.
Key Responsibilities
Operations & Expense Management
- Review employee expense sheets for accuracy and policy compliance and coordinate timely submission to Finance.
- Verify vendor invoices, coordinate approvals, and ensure timely submission to Finance.
- Generate and manage Purchase Orders, including PO closures and actualisation against final invoices.
- Maintain accurate trackers and databases for expenses, invoices, POs, and other operational activities.
Systems & Portal Management
- Manage activities across Zoho, Happay, and other expense/procurement platforms.Strong knowledge of TDS, GST, PF, Gratuity, and ESI provisions
- Create and manage user accounts and access across internal systems.
- Support employees with portal-related queries and resolve issues.
Reporting & Reconciliation
- Maintain operational databases and perform regular reconciliations.
- Prepare and provide reports/data to management as required.
- Ensure accuracy and timely updating of trackers and records.
Process Improvement & Stakeholder Coordination
- Develop and maintain SOPs and process documentation.
- Leverage AI and technology to improve operational workflows.
- Coordinate effectively with employees, vendors, Finance, internal teams, and leadership.
- Follow up on pending activities and ensure timely closure.
Qualifications and Experience
- Bachelor's degree in Business, Commerce, Science, or a related field.
- 4–5 years of relevant experience in operations, administration, or financial operations support
- Hands-on experience with Zoho and other operational/expense management platforms.
- Strong proficiency in MS Excel and Google Sheets.
- Familiarity with AI tools for process automation and documentation.
