We focus on long-term buyer relationships, quality assurance, and professional export execution.

Job Summary

We are looking for a proactive and detail-oriented Assistant Manager Exports to support and manage end-to-end export operations. The role involves coordinating export documentation, buyer communication, supplier coordination, logistics follow-ups, compliance management, and internal team coordination to ensure smooth and timely execution of export orders.

This role is ideal for candidates who have hands-on export experience and are ready to take the next step into a managerial support position.

Key Responsibilities

Export Operations & Documentation

  • Handle end-to-end export documentation including Invoice, Packing List, BL/AWB, COO, Insurance, Health Certificate, and other country-specific documents
  • Ensure compliance with DGFT, Customs, FSSAI, and importing country regulations
  • Coordinate with CHA, freight forwarders, shipping lines, and airlines for timely shipments

Buyer Coordination

  • Communicate with overseas buyers regarding order execution, shipment updates, and documentation
  • Support senior management in handling buyer queries, claims, and follow-ups
  • Maintain professional and timely communication to ensure buyer satisfaction

Supplier & Internal Coordination

  • Coordinate with suppliers/manufacturers for production timelines and dispatch readiness
  • Work closely with Quality Control, Warehouse, and Operations teams for inspections and dispatch
  • Ensure third-party inspections (if applicable) are planned and completed on time

Logistics & Shipment Tracking

  • Monitor shipment schedules and follow up for BL release, container movement, and delivery confirmation
  • Maintain shipment trackers and update internal MIS regularly

Compliance & Records Management

  • Maintain proper export records, files, and digital documentation
  • Support audits, buyer compliance requirements, and certifications (ISO, HACCP, HALAL, etc.)
  • Assist in preparing product dossiers and buyer-specific documentation packs

Reporting & Process Improvement

  • Prepare periodic reports on shipments, pending orders, and documentation status
  • Identify gaps in export execution and suggest process improvements
  • Support SOP implementation and internal process standardization

Desired Candidate Profile

Qualifications

  • Bachelor's degree in Commerce, Business Administration, International Business, or related field
  • Diploma or certification in ExportImport Management is preferred

Experience

  • 3 to 6 years of hands-on experience in export documentation and operations
  • Experience in agri-commodity or food product exports will be an added advantage

Skills & Competencies

  • Strong knowledge of export documentation and INCOTERMS
  • Good understanding of logistics, freight forwarding, and customs procedures
  • Excellent written and spoken English communication skills
  • Strong coordination, follow-up, and multitasking abilities
  • Proficiency in MS Excel, Word, and email communication
  • Ability to work independently with minimal supervision
